Job Duties

The International Enrolment Specialist ( IES ) reports to the Manager, International Enrolment, and plays a critical role in the recruitment and enrolment of international students by providing accurate information on program offerings, admission requirements, and institutional processes, ensuring timely communication, and delivering high-quality personalized service to prospective students, applicants, educational agents, partner institutions, and internal stakeholders. The position ensures full compliance with institutional policies, provincial and federal government regulations, to achieve institutional international enrolment targets. Key responsibilities include managing inquiries, vetting application eligibility, coordinating the admissions process, delivering and facilitating sessions and collaborating with internal departments to facilitate a smooth transition from initial inquiry through enrolment. The IES also builds and maintains strategic relationships with international partners and agents, leads recruitment initiatives, and promotes the institution’s programs in global markets. In addition, the role leads international recruitment marketing activities by providing region-specific market intelligence and developing digital and social media content independently and in collaboration with the Communications and Marketing team. The position actively monitors enrolment projections, program capacity, and collaborates with Data Enrollment Specialists to strategically achieve conversion targets and optimize seat utilization, by providing insights and recommendations to help strategize future international recruitment initiatives.
The role requires a Bachelor’s degree from a post-secondary institution in Business Marketing, Communications, or a related field, and a minimum of three years of recent, relevant experience in recruitment, international education, or marketing. In addition, this position requires strong communication, organizational, and intercultural skills, along with a student-centered approach to service delivery. Success in this position depends on continuous professional lifelong learning to maintain up-to-date knowledge of immigration policies, market trends, institutional procedures, and international student recruitment practices. The position also requires a high degree of technological proficiency with different platforms for applicant pipeline management, familiarity with international education systems along with innovation, adaptability, and flexibility. Given the rapidly evolving nature of the international education field, shaped by ongoing regulatory changes, technological advancements, and frequent geopolitical factors, the role demands a high degree of critical thinking, innovation, and adaptability to identify opportunities for improving processes and student support mechanisms

QUALIFICATIONS, SKILLS, ABILITIES AND EXPERIENCE

Specific Accountabilities

Prospect Management
  • Provide strategic, personalized guidance to new and prospective international students by outlining Saskatchewan Polytechnic program options, admission and English language requirements, and pathway or alternative program choices, while aligning academic background, career goals, labour market insights, and immigration considerations to recommend appropriate programs and targeted improvement pathways.
  • Guide on Post-Graduation Work Permit ( PGWP ) eligibility, dependent study and work permit eligibility, selected Saskatchewan Immigrant Nominee Program ( SINP ) pathways for permanent residency, Government of Canada Classification of Instructional Programs ( CIP ) codes, international student work-hour regulations, and application processing timelines.
  • Respond to and follow up on inquiries from prospective international students virtually, in person, and via email and phone, prioritizing competing urgent inquiries, providing guidance on program availability, application requirements, and supporting documentation, while directing students to Immigration Refuges and Citizenship Canada ( IRCC ) and provincial government resources for up-to-date immigration information.
  • Ensure effective intake management of international applications by vetting international applications for eligibility and coordinating applications through appropriate institutional systems and processes.
  • Provide logistical, marketing, and financial support for recruitment initiatives, including delivering on-shore recruitment events, contributing market insights for the development and annual updates of international recruitment materials and publications, and supporting the preparation and delivery of international recruitment sessions and workshops with internal and external partners.
  • Guide new, waitlisted and refused applicants in understanding available pathways, second choice program alternatives, adhere to institutional timelines to support informed decision-making based on program capacity and admissions schedules, including clarifying requirements when applications are incomplete or uncertain.
  • Serve as a liaison with educational agents and in-country representatives by providing accurate program information, application guidance, and recruitment expectations to strengthen global partnerships and ensure alignment with institutional recruitment objectives.
  • Expertise in CRM for enrolment management, efficient student tracking, seamless coordination, and data-driven recruitment outcomes that support strategic enrolment management and inform departmental decision-making.
  • Follow up with individual applicants regarding tuition deposit payments, Provincial Attestation Letters ( PAL ), study permit applications, deferrals, withdrawals, arrival to Saskatchewan, and program start dates, and coordinate their progress through the enrolment pipeline to ensure all required steps are completed prior to arrival and program start.
  • Provide guidance to prospective and admitted students on settlement-related topics—including housing, health insurance, transportation, and community resources and refer students to appropriate external agencies, institutions, and government services when required.
  • Facilitate and host information sessions in collaboration with academic programs and International Student Advisors for incoming international students.
  • Host and deliver study visa information sessions, in collaboration with International Student Advisors, for international students and educational agents to ensure alignment with application requirements and processes.
  • Review and verify student lists received from IRCC to confirm the authenticity of Letters of Acceptance (LOAs) issued by the institution, ensuring study permit applications are processed smoothly; proactively facilitate students’ resolution of verification issues by directing students on corrective steps and collaborating with the International Student Advisor team to prevent delays or negative impacts on study permit applications.

Marketing, Digital Recruitment, Social Media Content Creation and Communications
  • Responsible for outlining emerging markets and identifying those markets that deliver targeted return on investment ( ROI ) and international student enrolment growth.
  • Utilize analytics and market intelligence to evaluate marketing campaign effectiveness, identify growth opportunities, and provide recommendations to strengthen international recruitment outcomes.
  • Identify recurring themes, trends, and common student questions to drive targeted social media content creation, and enhance communication strategies; collect student stories and related materials, verifying accuracy, obtaining updates, providing context to promote student experiences, programs and services quotes to create testimonials
  • Lead the strategic planning, design and execution of digital communications initiatives across multiple platforms (Facebook, Instagram, RedNote, WeChat), including the development of original campaigns, paid social media advertising, and manage social media content calendars that support recruitment goals and enhance institutional visibility.
  • Design and oversee a cross-campus International Student Media Ambassador Volunteer program, selecting and training multilingual student creators, managing content pipelines, expanding regional reach through culturally contextualized content, coordinating engagement and communications, and providing strategic direction to overseas regional representatives for brand alignment and localized effectiveness.
  • Work collaboratively with academic areas to support program-specific marketing initiatives, helping to define promotional strategies that increase applications and strengthen undersubscribed program visibility in international markets.
  • Identify, coordinate, and produce multimedia and digital content, ensuring complex academic and admissions information is translated into clear, engaging, and accurate messaging for prospective international students.
  • Collaborate with internal departments including International Student Advisors, Admissions, Finance, Enrolment Services, Registration Services, Testing Center, Communications, Marketing and Retail Services, Web Team, SIS team, CRM support, external partners (in-country representatives and educational agents) to ensure consistent messaging and effective service delivery.
  • Work closely with the Communications, Marketing and Retail Services team to develop and update marketing materials for international student recruitment. International Education tailors promotional materials such as brochures and the Study at Sask Polytechnic guide based on regional audiences and targeted demographics. This position plays a key role in ensuring materials are culturally appropriate and aligned with recruitment objectives
  • Ensure that all marketing materials align with Saskatchewan Polytechnic’s institutional messaging, branding standards, and recruitment priorities

Planning and Operationalization
  • Effectively manage and prioritize multiple competing tasks by assessing urgency, impact, and resource requirements, ensuring the timely and accurate completion of deliverables within strict, time-sensitive deadlines
  • Support the development and operationalization of international and region-specific marketing and recruitment plans aligned with institutional priorities and enrolment objectives.
  • Implement the Saskatchewan Polytechnic international student recruitment strategy by developing and delivering student recruitment presentations and liaising with new and existing international recruitment agents.
  • Design and deliver innovative and engaging recruitment presentations, adapting messaging and materials to align with regional demographics, cultural contexts, and market needs, including emerging social media and marketing trends.
  • Liaise with in-country representatives providing support for both financial reporting and logistical requirements by:
    • Establish and maintain collaborative relationships with in-country representatives and field offices by serving as a key point of contact, providing timely guidance and operational, financial, and logistical support, and coordinating recruitment activities and in-bound delegations travel to Canada in alignment with institutional policies and procedures.
    • Coordinate financial reporting processes by developing standardized templates, consolidating financial information, and ensuring accurate documentation in accordance with contractual and institutional requirements.
    • Conduct research and gather market and operational information to support field offices and inform recruitment planning and decision-making.
  • Ensure electronic file systems are managed and organized so they are easily accessible to international personnel.
  • Oversee and execute International Education and third-party payments, proactively resolving issues, ensuring vendor accuracy, and consistently meeting strict deadlines.
  • Review and investigate refund requests for international students facing exceptional circumstances by evaluating communications, timelines, visa application status, and financial records. Collaborate with agents, Admissions, Finance, regional representatives, and the International Enrolment Manager to verify documentation and facilitate informed refund decisions
  • Provide international students with payment guidance and interpretation of the Saskatchewan Polytechnic Tuition and Fee Policy, including tuition payments, installment plans, and refund options.
  • Provide Accounts Receivable with the information and guidance required to process refunds, resolve issues related to international student refund inquiries or procedures, and communicate refund related matters to other units as needed.
  • Audit and analyze international student financial reports to monitor deposit deadlines and support international student enrolment growth.
  • Adhere to Generally Accepted Accounting Principles ( GAAP ) and institutional financial policies and procedures.
