Job Summary


The Open Resource Centre for Assessments (ORCA) allows students to take digital assessments in a flexible and secure way using physical computers, network filtering, reservation software, and trained invigilators. An ORCA invigilator is someone that prides themselves on being extremely reliable, professional, and dependable (particularly in rare crisis situations). Though the duties of an invigilator sound "easy" because no content knowledge is required, it is a position that requires significant mental fortitude, attention to detail, and most importantly, good judgement. Invigilator assignments are usually made collaboratively in response to the needs of courses in the ORCA, and invigilator availability.

Organizational Status
The ORCA Invigilators will report to the ORCA Manager.

The ORCA is usually open 6-7 days a week from 10 AM to 9 PM - availability during this period is critical. Each invigilator will likely be assigned “regular shifts” which will be repeating and consistent for each academic term, and additional shifts will be assigned on a weekly basis by availability.

Work Performed
ORCA invigilators will:

  • Check students in as they arrive to write their test by verifying their identity.

  • Assist students who are experiencing technical difficulties with ORCA equipment.

  • Report technical issues on the appropriate Slack channel.

  • Supervise the students in the ORCA and watch for academic misconduct.

  • Submit a report to the ORCA Director and/or Administrative Coordinator when academic misconduct is suspected.

  • Assist with information collection and synthesis when academic misconduct is suspected.

  • Ensure the ORCA testing rooms are comfortable, clean, and tidy places for students to be writing exams, at the direction of ORCA staff.

  • Assist with beta-testing new software, hardware, policies, and procedures in ORCA testing rooms.

  • Assist with room set-up and take-down when needed.

  • Move/deliver supplies from one building to another as-needed.

  • Proof-read and provide feedback on ORCA materials prepared by ORCA staff such as instructions for students, faculty, staff, and other administrators.

  • Perform other administrative and logistical tasks as assigned by ORCA staff.

ORCA invigilators are not responsible for

  • Answering students’ questions, unless it’s an issue with the ORCA equipment.

  • Knowing anything about the courses whose exams are being written.

  • Dealing with any student queries about ORCA outside their scheduled shifts.

Consequence of Error/Judgement
Invigilators deal with unique situations that require sound judgment, good understanding of the policies and practices guiding their work, and an ability to make sound decisions especially under stressful and high-pressure situations. Any errors in decision could potentially have operational, legal, and financial repercussions for the faculty, students, staff, and the department.

Diplomacy is required when interacting with faculty and staff. All information must be accurate and provided in a respectful, timely and supportive way. The confidentiality and security of the information being handled and discussed is of utmost importance. Failure to provide service that meets these standards may create hardships for students with disabilities seeking academic Accommodation, compromise the relationship of the ORCA with service consumers who may experience marginalization or disadvantage as a result of the interaction, or negatively impact the public image of the unit and University.

Preferred Qualifications

  • Undergraduate and graduate students at UBC will be strongly preferred for this role

  • ORCA invigilators must have a reliable way to get to campus within 1.5 hrs (with 30 mins optimal)

  • Students enrolled in courses using ORCA are NOT eligible for the ORCA invigilator role

  • Students on full-time coop terms are NOT eligible for the ORCA invigilator role.

We are looking for invigilators who

  • Are reliable and vigilant.

  • Are able to focus on a small set of tasks and responsibilities for up to 3-hours at a time without getting bored or antsy.

  • Take academic integrity seriously.

  • Are comfortable making announcements with a loud and clear voice, in English to students writing exams.
