The Position:

We are looking for a regular full-time Events Specialist to join our Philanthropy & External Relations team. Reporting to the Director of Marketing and Communications, the Events Specialist is responsible for the logistical planning, coordination and execution of a variety of internal and external events that support fundraising, donor stewardship, staff engagement, organizational culture, community awareness, and strategic priorities. Working within established event goals and strategies, this role collaborates with programs and departments across the Agency, and external partners to ensure the successful delivery of high-quality events and initiatives.

This position is based on a 40-hour work week, Monday to Friday, with flexibility required to accommodate varying work hours, including some evenings and weekends based on event requirements.

Duties and Responsibilities:

  • Coordinate the logistical planning, and execution of fundraising and philanthropy events organized by Hull designed to support donor engagement and revenue generation, such as the Symposium, Executive Director events, and the Annual Report to Community (AGM).
  • Coordinate stewardship events that recognize and celebrate donors, sponsors, partners, and community supporters.
  • Coordinate all aspects of internal and external events, including logistics, registration, vendors, speakers, volunteers, and event execution.
  • Plan and coordinate Indigenous-focused community events, such as Red Dress Day and other celebrations in collaboration with internal and external partners.
  • Coordinate and support organization-wide staff events, including City and Campus Pride Parade, Town Hulls, Staff Awards, Stampede Breakfast, Staff Appreciation Events, Indigenous celebrations and other events that promote engagement, inclusion, recognition, and organizational culture.
  • Actively participate on internal committees as assigned.
  • Develop event timelines, workback schedules, and project plans to ensure successful event delivery.
  • Coordinate vendors, venues, catering, transportation, equipment rentals, and event logistics.
  • Manage event registration processes and attendee communications.
  • Coordinate volunteers as required, including recruitment, scheduling, supervision, and recognition.
  • Monitor and track event budgets, invoices and expenses.
  • Ensure all event activities are delivered on time, within budget, and aligned with organizational objectives.
  • Track event metrics, prepare post-event evaluations and provide recommendations for continuous improvement.
  • Maintain event records, documentation, and planning resources.

Qualifications and Skills:

  • Post-secondary education in a related field (, communications, marketing, public relations), or an equivalent combination of education and experience in event management.
  • A minimum of three years of experience with event planning, coordinating, and executing a variety of events.
  • Experience managing multiple projects and competing priorities in a fast-paced environment.
  • Experience coordinating fundraising, stewardship, corporate, community, or staff engagement events is an asset.
  • Experience working with volunteers is an asset.
  • Knowledge of Hull and its programs, services, and stakeholders is an asset.
  • Strong project management and organizational skills with proven ability to manage timelines, budgets, vendors, and stakeholders.
  • Demonstrated ability to work collaboratively with diverse internal and external partners.
  • Exceptional interpersonal, written, and verbal communication skills.
  • Strong attention to detail and ability to troubleshoot issues while maintaining a positive and professional approach.
  • Creative, innovative, and solutions-focused with a passion for creating meaningful event experiences.
  • Proficiency in Microsoft Office applications and a willingness to learn new systems.
  • Commitment to diversity, equity, inclusion, and reconciliation.
  • A clear Police Information Check (including Vulnerable Sector Check) and Intervention Record Check are required prior to employment (or in the process of being completed).
