Job description

Position Summary

The Post-Secondary Counselling Assistant provides administrative and operational support to the Post-Secondary Counselling team and other administrators to ensure the efficient operation of the department through effective coordination of administrative processes communications scheduling student records post-secondary applications scholarships events and departmental resources while providing exceptional customer service to students families staff and external partners.



Duties and Responsibilities

Administrative Support

  • Provide administrative support to the High School Principal and Post-Secondary Counsellors to ensure the timely completion of departmental priorities and projects.
  • Establish priorities organize workflow and determine the most effective methods for completing assignments while managing competing deadlines.
  • Manage departmental calendars including scheduling university admissions representatives meetings presentations and events.
  • Prepare compile and maintain reports correspondence records and other documentation.
  • Provide professional responsive customer service to students families staff and external organizations.

Student Records and Post-Secondary Applications

  • Coordinate administrative components of post-secondary applications including transcripts reference letters supporting documentation and application tracking.
  • Assist with the entry verification and reconciliation of student marks and academic records across school information systems.
  • Liaise with distance education providers to obtain required academic documentation.
  • Maintain relevant sections of Naviance and other post-secondary planning platforms.

Scholarships and Student Opportunities

  • Coordinate timelines and administrative processes for internal and external scholarship applications.
  • Research identify and promote post-secondary information sessions enrichment opportunities scholarships bursaries and other programs.
  • Maintain and update departmental resources to ensure current and accurate information is available.

Event Coordination

  • Coordinate university presentations university and career fairs graduation-related activities and the annual Career Roundtable.
  • Assist with administration of the PSAT and other assessments as required.
  • Support the planning and coordination of the monthly Kinderbuddy program with Post-Secondary Counsellors and Kindergarten teachers.

Records Confidentiality and Technology

  • Maintain confidential student records in accordance with applicable privacy legislation and school policies.
  • Exercise discretion and sound judgment when handling sensitive information.
  • Utilize Microsoft Office and school information systems (Blackbaud/HUB Naviance) to support departmental operations.

Working Conditions

  • Occasional evening and after-hours attendance at school presentations information sessions and events.
  • Overtime may be required during peak operational periods including university application and scholarship deadlines.

Other Responsibilities

  • Perform other related duties as assigned.

Qualifications

Education and Experience

  • Grade 12 graduation supplemented education or related experience in Office Administration Business Administration or a related field or an equivalent combination of education and experience.
  • Minimum three years of progressively responsible administrative experience preferably in an educational environment.
  • Experience with student information systems and Naviance or similar post-secondary planning platforms is an asset.

Knowledge Skills and Abilities

  • Advanced proficiency in Microsoft Office Suite (Word Excel Outlook PowerPoint) and Google Workspace.
  • Exceptional organizational and time-management skills with the ability to prioritize multiple competing demands.
  • Excellent written and verbal communication skills.
  • Demonstrated initiative and ability to work independently while contributing effectively to a collaborative team.
  • Strong attention to detail and a high degree of accuracy.
  • Ability to build positive relationships with students families staff and external partners.
  • Commitment to maintaining confidentiality and professionalism
