The Program

At Taproot Community Support Services were a 100 percent employee-owned organization through an Employee Ownership Trust (EOT). Every employee is an owner from their first day with a voice in shaping Taproots future and the opportunity to share in employee ownership dividends.

The Position

Payroll is about much more than processing pay - it is about ensuring every employee-owner is supported accurately consistently and with care.

At Taproot our Payroll & Benefits team plays a critical role in the employee experience. We support more than 800 employees across Alberta British Columbia and Ontario each with unique collective agreements benefit plans pension programs funding models and operational requirements. No two days are exactly alike which makes this an exciting opportunity for someone who enjoys variety problem-solving and continuous learning.

We are looking for a Payroll Specialist who takes pride in owning their work is naturally curious and enjoys finding better ways to support employees and improve processes. This role is ideal for someone who enjoys diving into details asking questions learning new systems and collaborating with others to solve challenges.

You will join a small highly collaborative Payroll & Benefits team that values teamwork knowledge-sharing and supporting one another. This role offers a unique opportunity to develop broad expertise in payroll benefits administration HR systems compliance and employee support while making a meaningful impact on the lives of our employee-owners and the people we serve.

Schedule:
One (1) permanent full-time position with a weekly schedule of 40 hours.
Monday through Friday 08:30-16:30

The position is currently scheduled to be based out of the Support Staff office in Langley BC and is open for a hybrid remote model which will be discussed during an interview.

In Your Role You Will

Process bi-weekly semi-monthly and monthly payroll for employees in Alberta British Columbia and Ontario ensuring accuracy and adherence to payroll deadlines.
Manage and resolve payroll discrepancies and issues promptly and effectively.
Coordinate with HR IT and Finance teams to ensure accurate employee data management in the HRIS (Human Resources Information System) and payroll systems.
Stay updated on provincial payroll legislation and labor laws in Alberta British Columbia and Ontario to ensure compliance.
Prepare and submit payroll-related reports including tax filings WCB (Workers Compensation Board) reports and union dues calculations.
Respond to employee inquiries regarding payroll matters including pay discrepancies deductions and tax withholdings.
Support HR initiatives and programs related to payroll and benefits improvements and collective agreement changes.
Collaborate with the HRIS Specialist to resolve system issues and ensure seamless payroll processing.
Manage year-end payroll activities including preparation of T4s ROEs (Records of Employment) and other statutory reporting requirements.
Uphold high standards of customer service excellence in all interactions and deliverables
Coordinate and administer employee benefits programs such as health insurance dental and vision plans life insurance retirement plans pension and other voluntary benefits.
Coordinate open enrollment periods plan renewals contract premium updates ensuring compliance with payroll deadlines.
Serve as the primary point of contact for employee inquiries regarding benefits coverage eligibility claims and related issues.
Collaborate with benefits providers and brokers to resolve issues and ensure accurate administration of benefits programs.
Verify and input employee data changes including new hires terminations salary adjustments and deductions.

As An Ideal Candidate You Possess

You are someone who takes ownership of your work and approaches challenges with curiosity professionalism and a commitment to continuous improvement. You enjoy learning new things collaborating with others and finding solutions that make processes better for employees and the organization.
In addition you bring:
35 years of experience in Canadian payroll and benefits administration
Payroll Compliance Professional (PCP) or Payroll Leadership Professional (PLP) designation or a desire to pursue professional payroll education
Strong understanding of payroll legislation employment standards and benefits administration practices
Experience working with unionized payroll environments considered a strong asset
Confidence working with technology and an eagerness to learn and embrace new HRIS and payroll systems
Excellent communication and relationship-building skills with the ability to work effectively with employees managers vendors and colleagues
Strong attention to detail while balancing multiple priorities in a fast-paced environment
A proactive solution-focused mindset and willingness to step up when needed to support the team
Commitment to confidentiality integrity and exceptional customer service
Most importantly you are a team player who values collaboration enjoys learning and wants to contribute to a workplace where people genuinely support one another and take pride in the impact of their work.
