The Position:

We are looking for a Philanthropy Coordinator for a temporary 6-month contract with the possibility of extension or transition to permanent full-time employment. The Philanthropy Coordinator is the first point of contact for our donors and a key connector between our community and our organization. This front-facing role is perfect for someone who is professional, compassionate, adaptable, and thrives in a fast-paced environment. As part of a collaborative, and high-performing Philanthropy & External Relations team, you’ll play an essential role in supporting donor engagement, events, and stewardship initiatives that drive our annual fundraising success. You’ll also provide administrative support to the Senior Director and Director of Philanthropy, helping ensure our team operates smoothly and efficiently. This is a role for someone who enjoys variety, values teamwork, and is excited to contribute ideas while rolling up their sleeves to get things done.

Duties and Responsibilities:

Donor Engagement & Frontline Support

  • Serve as the first point of contact by triaging incoming calls and emails, ensuring all inquiries are handled promptly and professionally.
  • Welcome and assist donors in person and by phone, including supporting the team in processing all donations.
  • Support the philanthropy team with third-party community events.
  • Deliver exceptional, friendly customer service across all interactions (email, phone, in person).
  • Support philanthropy leadership during onsite meetings and donor engagements.
  • Maintain strong knowledge of Hull Services, including funding priorities and gift acceptance guidelines.

Philanthropy & Team Support

  • Assist the team with maintaining the donor database, ensuring accurate and timely data entry.
  • Support sponsorship ad donor solicitation efforts, as needed.
  • Assist with donor research and prospect tracking.
  • Provide administrative and coordination support for community events and team initiatives.
  • Jump in wherever needed – this is a team that collaborates and supports one another.

Acknowledgement & Stewardship

  • Make donor thank-you calls and help create meaningful touchpoints.
  • Support donor recognition and stewardship activities such as reports, tours, events, and information sessions.
  • Help ensure every donor feels valued, appreciated, and connected to Hull’s impact.

Skills and Qualifications:

  • A positive, can-do attitude and a desire to be part of a fun, high-energy team that works hard and celebrates success.
  • Passion for learning about fundraising and building meaningful relationships.
  • Minimum 2 years’ experience in an administrative or coordination role.
  • Strong customer service mindset with the ability to adapt to diverse needs and situations.
  • Excellent organizational and time-management skills, with the ability to juggle multiple priorities.
  • Professionalism, integrity, and strong interpersonal skills.
  • Clear and confident written and verbal communication skills.
  • Proficiency in Microsoft 365 (Outlook, Word, Excel, Teams) and a willingness to learn new systems – you may even become the team’s go-to tech expert.
  • A clear police check, which includes a vulnerable sector search, is required (or is in process of being completed) prior to employment
  • Clear Child Intervention Record Check
