Executive Assistant/Office Manager (CEO Support+Ops)

Compensation: $60,000 base + up to $30,000 bonus (performance-based)

Eligibility: Authorized to work in Canada

About the Role

This is a high-trust, high-ownership role focused on supporting the CEO and ensuring our Vancouver office operates smoothly. You’ll manage executive coordination, travel and event logistics, HR/payroll workflows, and day-to-day operational execution—while leveraging modern tools, including AI, to improve speed and efficiency.


What You’ll Own (Key Outcomes)

  • Maintain a well-organized CEO schedule: meetings coordinated, preparation completed, and follow-ups managed
  • Ensure events and roadshows run smoothly: travel booked, vendors coordinated, and logistics handled accurately
  • Support accurate and timely HR and payroll operations
  • Keep agreements and documentation organized: signatures collected, deadlines tracked, and processes completed on time
  • Deliver a smooth onboarding experience for new hires and ensure offboarding processes are handled professionally and compliantly

What You’ll Do

  • Manage the CEO’s calendar, meetings, stakeholder communications, and coordination
  • Coordinate travel and event logistics for team roadshows and partner events
  • Support HR and payroll workflows using QuickBooks Online and related tools
  • Manage onboarding and offboarding checklists and internal operational workflows
  • Track agreements, documentation, and signature processes end-to-end
  • Use AI tools to draft, summarize, organize, and improve operational efficiency while maintaining accuracy
  • Handle invoices, reimbursements, budget tracking, and basic operational reporting

  • Detail-oriented with strong numerical and organizational accuracy
  • Comfortable using technology and AI tools, and able to learn new systems quickly
  • Proactive, accountable, and able to work independently without micromanagement
  • Equipped with 1+ years of experience in business administration, office management, or coordination
  • Holding post-secondary education in a related field (North American education preferred)
