We are currently seeking an organized and proactive Site Administrator to join our team in Prince Rupert, BC. This is an excellent opportunity for an experienced administrator who enjoys working in a fast-paced project environment, collaborating with site leadership, and playing a key role in the success of a major construction project.
What You'll Do
As the administrative hub of the project, you will play a vital role in supporting daily operations and ensuring the site team has the information, resources, and administrative support needed to succeed.
Key responsibilities include:
- Supporting project leadership and field teams by coordinating critical administrative functions across the site
- Managing project documentation, records, and correspondence to ensure accuracy, compliance, and efficient communication
- Serving as a key point of contact for employees, contractors, vendors, and project stakeholders
- Processing payroll, timesheets, and accounts payable activities while maintaining accuracy and meeting deadlines
- Maintaining workforce records, onboarding documentation, and employee data
- Coordinating shipping, receiving, and logistics documentation to support project operations
- Managing subcontractor and vendor documentation and ensuring records are organized and up to date
- Overseeing site office operations, supplies, equipment, and administrative resources
- Preparing reports and supporting project leadership with information required for planning and decision-making
- Contributing to a collaborative, professional, and safety-focused work environment
What We're Looking For
- High school diploma; post-secondary education in Business Administration, Accounting, or a related field is considered an asset
- 3+ years of experience in an administrative, payroll, accounting, or project support role
- Strong proficiency with Microsoft Office, including Excel, Word, Outlook, and PowerPoint
- Previous experience in construction, industrial, oil & gas, mining, or infrastructure projects is preferred
- Exceptional organizational and time-management skills
- Ability to manage multiple priorities in a dynamic project environment
- Strong communication skills and attention to detail
