Role Overview
Reporting to the Senior Contract Specialist, the Contract Administrator plays a key role in supporting project development activities through effective contract administration and coordination.
The successful candidate will bring strong organizational, interpersonal, and communication skills, along with outstanding attention to detail and the ability to handle a high volume of tasks while balancing multiple priorities and deadlines. Key Responsibilities
- Be a courageous safety leader, adhere to and sponsor safety and environmental rules and procedures.
- Support contracts specialists in execution of various transactional tasks across the complete contract’s lifecycle.
- Ensure smooth functioning of the repetitive aspects of the contracts effort – e.g., prepare RFP documentation, set up contract in digital system, issue and track formal correspondence, schedule and minute contracts meetings.
- Contribute to continuous improvement of processes and procedures.
- Prepare change notices and monitor the performance of the contract, including the contractor status, reporting, and any deliverables required by the owner.
- Perform contract close-out activities.
- Maintain files for every contract, including payment schedules, correspondence, clarifications, deviations/changes, and amendments in SharePoint and Aconex, track any correspondence and authorizations, update agreements, attest invoices, review and verify progress payment certificates.
- Facilitate internal review and sign-off processes.
- Support project reporting activities, as the need arises.
- Offer and provide administrative support and perform other tasks as assigned.
Qualifications
- 3-5 years’ work experience in any field – preferably contract administration
- Proficient in Microsoft Office applications (SharePoint, Word, Excel, PowerPoint), experience with Aconex and Unifier would be considered an asset.
- Excellent interpersonal skills including the ability to present information and assist with project planning, while communicating clearly to all levels of the organization.
- Organizational and analytical skills.
- Strong work ethic paired with meeting opposing deadlines in a dynamic, fast-paced environment.
- Detail-oriented, and organized with a high degree of accuracy.
- A self-starter with a willingness to learn, you can work independently or as part of a team.
- Ability to interact and work with team members in varying levels within the company.
Pay Range: CAD $85,000 - $105,000 per year
The actual amount offered is determined based on the successful candidate’s relevant experience, skills, and competencies and considers internal equity.
