Job descriptionPOSITION SUMMARY Reporting to the Senior Project Manager, the Project Coordinator – Integrated Project Services (IPS) provides integrated coordination and administrative support across IPS functions, including Project Delivery, Estimating & Pre‑Construction, Supply Chain, and Project Controls. The role supports both: - Project execution (project‑focused), and - Program coordination and front‑end activities, ensuring that work is organized, documented, and aligned with approved plans, schedules, and governance requirements. The IPS Coordinator plays a key role in maintaining execution discipline, data integrity, and communication flow across complex or non‑routine work. CORE RESPONSIBILITES Safety & Compliance - Emulates Forbes Bros core value of 'WE WORK SAFE' in all daily tasks Project Delivery - Support Project Managers and Construction Managers in coordinating day‑to‑day project execution activities - Assist with tracking: - Progress - Schedule updates - Costs and production - Maintain project records, including: - Change notices - Site instructions - Field documentation - Support construction meetings and site coordination activities as required Estimating & Pre-Construction Support - Coordinate estimating inputs, RFQs, and data collection for new opportunities - Support preparation and organization of estimate documentation and reviews - Assist with: - Scope clarification - Historical data collection - Execution assumption tracking - Support transitions between estimating and project handover Supply Chain Coordination - Support procurement coordination for: - Materials - Equipment - Subcontractors - Assist with tracking pricing inputs, vendor responses, and procurement status - Maintain supply‑chain documentation and records for projects and programs - Support alignment between supply‑chain activities and project schedules Project Controls & Reporting Support - Assist with cost tracking, forecasting inputs, and reporting updates in ERP systems (e.g., Viewpoint) - Support development and maintenance of: - Project dashboards - Reporting tools - Program / MSA tracking outputs - Ensure project and program data is complete, accurate, and current Program / MSA Coordination - Support IPS and Regional Operations with coordination of recurring work programs - Assist with: - Work tracking - Reporting - Documentation consistency across programs - Help maintain alignment between multiple projects within MSA frameworks General Coordination & Communication - Coordinate meetings, documentation, and communication across IPS teams and stakeholders - Track actions, deliverables, and deadlines - Identify and escalate coordination gaps or inconsistencies early - Support onboarding, time entry, and administrative project requirements as needed ESSENTIAL REQUIREMENTS Education & Experience - 2–6 years of experience in project coordination, construction support, or similar roles - Post‑secondary education in Construction Management, Project Management, Engineering, or related field preferred - Strong understanding of project workflows: - Scheduling - Cost tracking - Procurement - Documentation Skills & Abilities - Strong organizational and coordination skills across multiple workstreams - Detail‑oriented with high standards of accuracy - Strong written and verbal communication skills - Ability to work effectively in both field and office environments - Proficiency in Microsoft Office; experience with ERP systems (e.g., Viewpoint) considered an asset - Comfortable working in evolving, fast‑paced project environments Additional Details - May require work at office or site location, as required. - Work overtime as required by project needs. - This job description is intended as a guide to the requirements of the position and is not intended to be definitive.
