The HR Systems Optimization Analyst plays a critical role within RVH’s People Operations & Analytics team, part of the broader People Operations portfolio. This role supports the effective delivery of workforce operations and enhances the overall employee experience through the strategic design, configuration, optimization, and maintenance of RVH’s enterprise HR systems.
Reporting to the Manager, People Operations & Analytics, the Analyst provides system expertise across key platforms including Oracle (PeopleSoft), UKG WFM Pro, and Andgo. The role is responsible for system configuration, testing, integration, and ongoing maintenance, while staying abreast of new and emerging system functionalities and assessing opportunities for implementation. The Analyst continuously seeks opportunities to optimize processes, introduce automation, reduce errors, and improve system efficiency and reliability. The Analyst also contributes to policy development, best‑practice research, leader training design, and continuous quality improvement initiatives across RVH. Through collaboration with internal stakeholders and external partners, the role delivers data‑driven recommendations for system and process improvements that support operational effectiveness, compliance, and a seamless employee experience.
Education:

Bachelor’s degree in Human Resources, or a related field.

Post graduate certificate in human resources management an asset.

Member in good standing with the HRPA preferred.
Experience:
-
At least five (5) years of human resources systems experience.
-
Experience conducting research and forming informational reports, containing recommendations and conclusions.
-
Experience with Project Management or Quality Improvement methodology and familiarity with Lean methodologies.
-
Advanced knowledge of Human Resources information systems, such as PeopleSoft, UKG or other related systems.

Advanced knowledge of collective agreements and legislation as it relates to scheduling in a health care environment is an asset.

Experience working with payroll coding and human resource data, resulting in outputs to guide decision making and process improvements.

Experience delivering training, generating graphs, tables, training documents and other information displays.

Demonstrated skills in Microsoft Office (using Word, Visio, Publisher and PowerPoint). Advanced skills in Excel.

Responsibilities
Process and Systems Development
-
Lead the support and optimization of the HRIS system, UKG Pro WFM, Andgo and other HR systems.
-
Complete daily device checks, perform troubleshooting and hardware repair/replacement and update device firmware as required.

Evaluate upcoming releases and new features for strategic fit and business value.
-
Update data and provide guidance on data maintenance and integrity in the HR systems and specifically in the timekeeping system in relation to labour levels, organizational maps including departments and jobs, lookup tables, etc.

Provide and maintain system security access and provide guidance on security in HR Systems.
-
Support the implementation of a new Human Resources Information system.
-
Open heat tickets for the HR systems and work with applicable groups on resolution.

Provide support Off-hours if urgent testing is to be required.
Research, Planning & Analysis

Lead or provide support in the investigations relating to HR Systems functionality (UKG, PeopleSoft) and performance and provide best practice information or solutions.

Provide recommendations for changes and upgrades to applicable HR systems through review of current and future needs along with best practice.

Conduct business impact analysis and recommend solutions that align with the organizational strategy.

Provide best practice guidance and expertise to the People Scheduling, Timekeeping & Payroll team to facilitate standardized and efficient use of the UKG system.

Lead or provide support with training and support for RVH staff and Leaders as required.

Establish, promote and maintain positive and effective working relationships with external partners (UKG and PeopleSoft) to meet and exceed high expectations for quality service from the HR systems. Primary contact for resolution of system issues with partners as directed.

Focus on continuous improvement and solving operational problems with the systems functionality
Compliance & Regulation

Audit HR information and data through managing processes, templates, and workflow to ensure consistency and data integrity.

Conduct quality audits and develop quality management and quality assurance standards for the various departments within the People team.

Run system integrity reports daily including UKG import file, mapping kickouts/transaction errors, and the UKG clocks.

Other duties as assigned.
