What you’ll do
As the Executive Assistant to the VP, Brand Strategy, you will provide primary 1:1 executive support to the VP, while also supporting effective coordination and administrative work across the Brand Strategy leadership portfolio. This is a fast‑paced, hands‑on role for someone who instinctively anticipates needs, brings structure and follow‑through to dynamic work, and takes pride in making things run smoothly—often before being asked. While your focus remains anchored in supporting the VP, you will also provide ongoing support to the leaders and teams the VP oversees, particularly in scheduling, budgeting and invoices, meeting coordination, and preparation of materials. More specifically, you will:
Stay two steps ahead
- Anticipate needs, identify potential issues early, and surface thoughtful options or solutions rather than waiting for direction.
- Maintain a clear pulse on priorities, timelines, and context so the VP is consistently prepared and supported.
- Proactively improve workflows, meetings, and administrative processes to increase effectiveness and reduce friction.
Coordinate leaders, meetings, and portfolio work
- Coordinate leadership, planning, and portfolio meetings, including agendas, materials, logistics, notes, and follow‑up.
- Provide ongoing scheduling and administrative support to leaders who report to the VP, adjusting level of support based on priorities and capacity.
- Prepare and manage PowerPoint templates for leadership, board, and team meetings, integrating inputs from multiple contributors and refining content for clarity and flow.
Create clarity and momentum
- Prepare and refine presentations, briefings, and materials so they are clear, well‑structured, and visually polished.
- Distill complex or evolving information into clear takeaways that highlight what matters most and support timely decision‑making.
Deliver exceptional executive support
- Manage calendars, agendas, meetings, and travel with precision, anticipating what the VP will need to be prepared and effective.
- Handle expenses, administrative processes, and confidential information with discretion and sound judgment.
- Track and reconcile team budgets and support routine invoice submission processes.
- Maintain organized files, templates, and systems so information is easy to access and action.

Additionally, you bring:
- 5+ years of experience supporting senior leaders in a fast‑paced, dynamic environment
- A certificate or diploma in office or business administration, or equivalent experience
- Confidence supporting senior leaders and engaging with Board members, external partners, donors, and government stakeholders
- Strong ability to manage up and coordinate across multiple stakeholders, priorities, and deadlines with sound judgment and clarity
- Proficiency with Microsoft Office tools, including Outlook, PowerPoint, Word, Excel, Teams, and SharePoint; experience with budget tracking or invoice processing is an asset
- Exceptional PowerPoint skills, with a strong eye for design, storytelling, and finishing touches
- Strong written and verbal communication skills, with comfort leveraging technology and AI tools to improve quality, efficiency, and clarity of work

The hiring range for this position is between $65,900 and $73,600. At BCCHF, we are committed to ensuring that compensation is fair and equitable. Your placement in the salary range will be determined by your experience, relevant skills, and qualifications as they relate to this role.
