Job Summary
The Community Engagement Coordinator oversees community-engaged learning activities for the Bachelor of Media Studies (BMS) program. The coordinator serves as a key liaison between the program faculty students cross-campus and external UBC units while facilitating co-curricular opportunities. The coordinator will also be expected to help build articulate and implement programming that foster a positive placement experience for BMS students. The incumbent manages CEL- related communications and outreach activities for the BMS program including content and management of related sections of the website and newsletter and other communications needs and projects that arise.

Organizational Status
The Coordinator reports to the Administrator in the First-Year & Interdisciplinary Programs (FYIP). Work directions are provided by the Program Chair. As a member of the administrative team the incumbent works closely with the instructors and other program staff of the BMS program. The Coordinator liaises with various departments and services units within the Faculty of Arts organisations internal and external to UBC including the Centre for Community Engaged Learning (CCEL) Arts Co-op program Career Centre Arts Development and Alumni Engagement Office.

Work Performed

  • Plans develops implements and evaluates a strategic framework of engagement to establish and further the BMS program community-engagement mandate.

  • Leads the development and implementation of community engagement strategies initiatives guidelines and practices. Stays informed on relevant initiatives and strategies across campus evaluates feasibility in relation to the BMS program and makes recommendations to the Program Chair regarding how to best implement any relevant initiatives.

  • Cultivates and manages relationships with key units groups and programs on campus to facilitate cross-campus community engagement collaborations. These include Centre for Community Engaged Learning (CCEL) Arts Co-op program Career Centre Development Alumni Engagement Office the Centre for Student Involvement and Careers and others. Facilitates interdepartmental collaboration and communication at UBC.

  • In consultation with the program chair and core faculty builds and stewards ongoing relationships with external community partners in the sector. Serves as the key point of contact for external community partners to answer questions related to the CEL activities/initiatives in the Bachelor of Media Studies program and to facilitate and further relationships. Works closely with the Program Chair to evaluate each collaboration requests suitability and feasibility and makes recommendations on which opportunities to pursue.

  • Oversees the delivery of a range of community-learning initiatives including course-embedded initiatives co-curricular supports and services peer programs and other program-specific learning initiatives embedded in core courses within the program.

  • Develops and evaluates customized events and co-curricular activities for students. This includes planning and designing the program(s) CEL initiatives promotion coordinating faculty or community participation and coordinating the involvement of students & other staff. These events may include showcase of community partnership work speaker series program specific events web resources peer mentoring groups workshops etc. Ensures the safety of participants in CEL activities by creating safety plans and reviewing co-curricular activities for suitability.

  • Works collaboratively with the Program Chair on any community-based issues being identified implements solutions as appropriate; analyzes and makes recommendations for improvements.

  • In collaboration with the Program Chair oversees the planning and implementation of new courses and other strategic curriculum initiatives to support the program s commitment in facilitating community-engaged experiential learning. Provides community outreach support and finds creative ways to integrate courses with relevant community-engaged modules. Contributes to the consultation process for new courses and initiatives involving faculty students and community stakeholders.

  • Conducts research and analyzes data to assess the educational needs of students & evaluates outcomes through surveys focus groups and interviews. Develops appropriate evaluation criteria and tools.

  • Designs develops delivers and evaluates CEL-related resources for students to support and enhance involvement learning leadership and personal and professional development. Facilitates appropriate orientation(s) for students and instructors.

  • Develops communication and marketing strategies and materials for CEL-related events including web-based print and other forms of communication.

  • Manages CEL & co-curricular budgets including authorizing and reviewing expenditures reconciling monthly statements. Manages existing funding sources and grants including documenting payments and expenditures preparing progress reports and ensuring compliance with grant regulations.

  • Writes the annual report and other reports and articles for CEL activities and initiatives.

  • Identifies potential funding opportunities. Writes and prepares funding proposals. Participates in the program grant proposal writing and fundraising activities.

  • Takes on special projects.

  • Performs other duties as required to meet the operational needs of the CEL mandate/initiatives.

Working Conditions

Primary place of work is the UBC main campus. Work outside of the typical operating hours of the University may be required including evenings and weekends. Flexibility with scheduling and traveling to off-campus meetings is required.

Consequence of Error/Judgement
The coordinator must exercise judgement to recognize potential conflicts relationship and financial risks. Inappropriate decisions and errors in monitoring the budgets and educational data will have a negative impact on the delivery of the CEL mandate for the BMS program. It will also result in additional administrative burdens for the program chair and administrator. Poor judgements and problem solving will impact the reputation of the program the Faculty of Arts and UBC.

Supervision Received
The coordinator reports director to the FYIP Administrator. The coordinator works autonomously within general guidelines towards the achievement of overall CEL mandate for the BMS program.

May supervise student employees.

Minimum Qualifications
Undergraduate degree in a relevant discipline. Minimum of four years of related experience or the equivalent combination of education and experience.

Preferred Qualifications

  • A master degree in a related media or education field is an asset.

  • Experience in working with community-based organizations or a background in community engaged learning and understanding of collaborative leadership.

  • Experience in developing educational materials project-based learning pedagogies project management is an asset.

  • Demonstrative ability to be flexible and collaborative.

  • Ability to exercise diplomacy and thoughtfulness. Strong interpersonal skills and cross-cultural sensitivity are required.

  • Communication skills (listening written and verbal) facilitation and presentation skills organization and time management.

  • Excellent judgement and decision-makings skills to allow the assessment of needs available resources and capacities to resolve issues.

  • Ability to pay close attention to details and manage multiple projects and competing deadlines.

  • Ability to envision and implement innovative programs and initiatives. Strong interest in and commitment to effective problem solving and continuous improvement of programs and services.

  • Possession of personal attributes that facilitate teamwork and the development of effective working relationships with a wide range of cross-campus unit external partners students faculty and staff.

  • Technically proficient in Microsoft and Adobe applications university student information systems content management (WordPress Drupal etc.) and social media applications.

  • Ability to work evenings and weekends to run CEL activities and events as required.
