The Opportunity - Student, Residence Front Desk Assistant (Office Assistant)
The role of Front Desk Assistant is an integral member of our team and is often the first point of contact for all students and guests. The Front Desk Assistant will perform a variety of general administrative and clerical functions. The incumbent will be required to take direction and work intuitively to support the day-to-day operations of the Residence Services Team, and also takes the security, safety, privacy, and wellbeing of the resident community seriously when going about questions, queries, and tasks.
Key Job Functions
Front Desk Operations
- Respond to all questions, inquiries, and comments in a timely and professional manner.
- Work independently and take initiative to complete tasks and projects as assigned.
- Assist with key audits, paperwork, office organization, and check-in/check-out procedures.
- Coordinate distribution of mail
- Be familiar with Olds College grounds and resources, and the needs of conference guests.
- Must keep private information of students confidential as well as front desk procedures, passwords, and data.
- Must look through a safety and privacy lens when answering questions and queries that involve students, and when determining who is being let into the building.
- Maintain an organized and clean workspace.
- Promote and advertise events within residence and the broader college community. This includes use of the Olds College Residence social media pages and participating in Residence marketing campaigns (eg. video testimonies).
- Plan, execute and support front desk engagement initiatives.
Customer Service
- Treat clients, guests, employees, students, supervisor, and colleagues with courtesy and respect.
- Practice active listening, be observant, and make appropriate referrals.
- Dress, speak, and behave in an appropriate and professional manner.
- Help to create and maintain a positive community environment.
- Be visible and available to assist and be a resource to residence guests.
- Other duties as assigned
Requirements/Qualifications
- Olds College Student maintaining a GPA of 2.3 or higher, with priority given to programs that run from September - April
- Outstanding time management skills
- Experience with using Google programs and general computer technical skills
- Excellent communication, interpersonal and organizational skills
- Able to maintain a professional demeanor and think critically under pressure.

First Semester
- FDA Training: August 24th - September 4th, 2026
- Move-In Day: Sunday, September 6th, 2026
- Welcome Week: September 7th - 13th, 2026
- Open House: weekend in October or November
- Week Before Holiday Closure: December, 2026
Second Semester
- January Move-In: January 9th, 2027
- Frost Week: January 10th - 17th, 2027
- Level Up Campaign Day: March, 2027
- Move-Out: May 1st, 2027
- Move-in: May 2nd, 2027
Wage & Hours
- Wage: $15/hour
- Hours of work may vary Sunday to Friday with between 15-20 hours of work per week, scheduled around students’ academic obligations
- Additional hours may be required at specific times of the year or for occasional, supplementary operations support.
