Senior Program Specialist
Full-time | Calgary, AB | Primarily In-Office
The Independent Power Producers’ Society of Alberta (IPPSA) convenes power producers and stakeholders to create opportunities for dialogue, collaboration, and education.
IPPSA is looking for a highly capable and proactive Senior Events & Administration Specialist to support the execution of our events, member services, and core operations.
This role is ideal for someone who thrives in a fast-paced environment, can manage multiple priorities, and is comfortable working independently to solve problems and keep initiatives moving forward. You will play a key role in delivering IPPSA’s annual conference and member events while supporting the organization's day-to-day operations.
This is not a purely administrative role, we are looking for someone who takes ownership, exercises judgment, and can execute with minimal supervision.
his position is based primarily in our downtown Calgary office, with some flexibility to work remotely when appropriate. During peak times, including the annual conference and other major events, increased on-site support and occasional travel will be required.

What You’ll Do
Conference & Event Execution
- Independently coordinate and execute IPPSA’s annual conference and member events (luncheons, receptions, webinars, roundtables)
- Manage event logistics including venues, vendors, speakers, sponsors, and timelines
- Develop and maintain detailed run-of-show documents and event plans
- Troubleshoot and resolve issues in real time during event execution
- Support post-event reporting, surveys, and sponsor follow-ups
Membership & Administration
- Maintain and improve the accuracy of member and event data within the AMS/CRM
- Manage event registration processes and communications
- Support member communications and outreach using AMS/CRM tools
- Assist with reporting on event participation and member engagement
Administration & Operations
- Coordinate logistics for board and committee meetings (scheduling, materials, minutes)
- Track action items and ensure timely follow-up
- Support financial administration processes (invoicing, expense tracking, coordination with bookkeeping)
- Manage relationships with vendors and service providers
- Maintain organized systems, documentation, and workflows across the organization
- Coordinate website and app updates with event details, schedules, and session information.
Who We’re Looking For
Experience
- 5 years of experience in event coordination, operations, or administrative roles
- Experience supporting or executing conferences, corporate events, or member-based programming
- Experience working with AMS/CRM systems or databases
Core Competencies
- Strong problem-solving ability: Can assess situations, identify solutions, and act without step-by-step direction
- High level of ownership: Takes responsibility for outcomes and follows through reliably
- Organization & execution: Able to manage multiple timelines, details, and priorities simultaneously
- Adaptability: Comfortable working in a dynamic environment with shifting priorities
- Professional communication: Clear, responsive, and confident in dealing with stakeholders
Technical Skills
- Proficiency in Microsoft Office applications, including Word, Outlook, and Excel.
- Familiarity with AMS or CRM platforms, email marketing tools and social media channels is an asset.
