About the position:
The Administrative Assistant / Receptionist provides professional administrative support and serves as the first point of contact for residents, families, and visitors. This role requires strong customer service skills, excellent organizational abilities, and the ability to communicate courteously and effectively.
Wage:
Experience
- Experience in Long Term Care, or similar field.
- Previous administrative, reception, or customer service experience preferred.
Qualifications:
- Office Management or Health Care Administrative Courses
- Strong organizational and multitasking abilities.
- Excellent interpersonal and communication skills, both verbal and written.
- Proficiency with Microsoft Office Suite (Word, Excel, Outlook) and Point Click Care
- Ability to maintain confidentiality and handle sensitive information professionally.
- Positive attitude, adaptability, and commitment to providing excellent customer service.
Key Responsibilities:
- Greet residents, families, and visitors with courtesy, professionalism, and a welcoming demeanor.
- Deliver exceptional customer service, responding promptly to inquiries in person, via phone, and email.
- Maintain employee records and files in accordance with organizational policies and confidentiality standards.
- Maintain accurate and up-to-date resident business and administrative files.
- Assists Finance with accounting process for trust funds such as making deposits, receiving revenues, custodian of petty cash, billing, and receipts.
- Assist with the new hire process, including coordination of documentation and onboarding tasks.
- Order, track, and maintain office supplies to ensure smooth day-to-day operations.
- Provide administrative support to various departments as needed.
- Responsible for room bookings for internal and external stakeholders
- Monthly newsletter creation as well as internal communication creator.
- Work in accordance with the Resident Bill of Rights, Freedom of Information Protection of Privacy Act, Workplace Safety and Insurance Act and other pertinent legislation and organizational policies.
- Perform other duties as assigned to support the overall operations of the organization.
