The Administrative Assistant provides comprehensive administrative support to the Branch Administrator and assists with key organizational and coordination tasks. Responsibilities include managing schedules organizing meetings preparing documents maintaining records and handling day-to-day administrative duties. The role requires strong attention to detail excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment. The Administrative Assistant also supports communication with internal and external stakeholders helps track branch activities and ensures smooth daily operations.
Tasks
- Assist with scheduling and maintaining the Executive Directors calendar including coordinating meetings and appointments.
- Organize and manage shared email inboxes by tagging categorizing and prioritizing messages for timely follow-up.
- Maintain accurate and well-structured filing systems (both electronic and physical) for easy document retrieval.
- Provide general administrative support to the Branch Administrator including preparing correspondence reports and presentations.
- Support branch operations by completing additional administrative tasks as assigned.
- Collaborate with internal teams to ensure smooth communication workflow and coordination across the branch.
- Ensure a high level of attention to detail and maintain professionalism in all administrative tasks.
Requirements
Education & Experience
Post-secondary education in office administration business or a related field (or equivalent experience).Previous experience in an administrative or office support role is an asset.Skills
Strong organizational and time-management skills.Excellent attention to detail and accuracy.Ability to manage multiple priorities in a fast-paced environment.Proficient with MS Office (Outlook Word Excel PowerPoint) and general office software.Strong written and verbal communication skills.Ability to maintain confidentiality and handle sensitive information.Competencies
