Job Purpose
The Programming Assistant (PA) reports to the Residence Life and Services Coordinator and supports community building initiatives in residence. The PA will work independently and collaborate with the Community Leaders (CLs) to facilitate high-quality, innovative, feedback-driven, and safe programs for specific residence communities and the residence system as a whole. The PA will be responsible for all aspects of the programming process from gathering ideas, planning, maintaining documentation, marketing, assessment, and for ensuring that programming funds are spent in ethical and high-impact ways.
Casual position : approximately 15 hours per week
Contract Duration : July 30, 2026 - April 30, 2027
Duties And Responsibilities
- Programming (60%)
- Plan and execute educational and community building programs in residence in collaboration with Community Leaders.
- Work with campus / community partners to implement programs and campaigns.
- Liaise with each building’s Community Leader to understand ongoing trends and needs then develop targeted programming efforts that are responsive to these needs.
- Research high-quality program ideas to ensure that events are creative and responsive.
- Create and distribute effective multi-platform advertising materials for every program.
- Ensure that all programs are well-planned, professional, and valuable to residence students.
- Follow appropriate approval processes for the planning of programs and ensure appropriate approval has been granted before making any purchases.
- Provide opportunities for formal and informal feedback from Student Housing management, Community Leaders, and residence students on programming efforts.
- Identify and communicate events being hosted on-campus and in the Edmonton community to residents through newsletters and social media.
- Assist the Housing Management Team with planning, organizing and implementing Residence, orientation events.
- Maintain operations of Programming supplies with regular inventory and management of equipment, supplies and resources.
- Assist in recruiting students for Residence Council.
- Peer Mentorship and Support (5%)
- Support and coach Community Leaders with programming.
- Maintain exceptional confidentiality in all interactions with residents, only sharing information with the Student Housing management team.
- Suggest appropriate resources and connect students with their Community Leader if they are experiencing challenges / stressors.
- Maintain an active and positive presence in the residence community through formal methods such as the programming events and / or informal methods.
- Administration & Team Responsibilities (15%)
- Attend meetings as scheduled including weekly team-meetings, Bi-weekly (or weekly) one-on-one meetings, and Residence Council meetings.
- Respond to all correspondence in a timely and professional manner.
- Recruit residence students to form Residence Council.
- Assist in mid-term room inspections and resident feedback surveys as needed.
- Prioritize health and safety in the development and execution of all programming.
- Deliver reports to Student Housing management including programming plans, evaluation forms, feedback surveys, etc.
- Complete reimbursement request forms through Chrome River in a timely and accurate manner.
- Attend meetings as scheduled including weekly team-meetings and bi-weekly 1-1s.
- Other relevant duties as assigned.
- Residence Community Development (15%)
- Consistently role model appropriate and healthy community behaviors which contribute to a clean, safe, and academic environment within residence through programming efforts.
- Emergency & Conduct Response (5%)
- Demonstrate a strong understanding of relevant campus policies and procedures while addressing emergencies.
- Identify situations that require escalation per training and professionally involve other relevant campus and community supports (e.g. Community Leaders, Manager On-Call, Campus Security, 911, etc.).
- Skills
- An enthusiasm for event planning and developing and running high-quality events is expected.
- Demonstrating excellent verbal and written communication skills.
- Being able to work independently and collaboratively with a diverse team.
- Demonstrating strong critical thinking and problem-solving skills.
- Understanding the importance of confidentiality and relevant policies / procedures.
- Interest in mental health is an asset, but not necessary. Successful candidates will be provided with relevant training.
- Eligibility And Qualifications
- Full-time CUE student, for the duration of the contract (Fall 2026 and Winter 2027 terms) is required.
- Maintain acceptable academic standing in all courses throughout the academic year is required.
- Legally entitled to work in Canada is required.
- Ability to pass a criminal record and campus conduct background check is required.
- 1-2 years of experience in customer service, residence / student life, or leadership is an asset.
The Programming Assistant is welcome, but not required to live in CUE residence.
