Corporate Secretarial Specialist
Responsibilities
include :
Provide support for board and committee meetings, including preparation of agendas, meeting notices, logistics, bookings / reservations and tracking deadlines
Assist in the preparation and execution of Annual Shareholders and / or Securityholders Special Meetings, including all ancillary duties
Assist in building and maintaining of meeting books and information materials on board portal
Assist in the preparation of annual questionnaires and compiling of responses for annual disclosure documents
Assist in managing board portal records, charts, invoices and files
Assist in managing and coordinating VP and Corporate Secretary’s calendar, travel and meetings
General administrative duties including preparation of legal documents, minutes, correspondence, faxing, photocopying, shredding, maintain minute books and corporate records and reimbursement of travel expenses for Directors, etc.
Qualifications :
Minimum of 4 to 6 years of experience in a corporate or legal administration role
Post-Secondary education; Business Administration, Legal Assistant or equivalent is required
Expert knowledge of Microsoft products such as Excel, Word and PowerPoint
Excellent organizational skills and the ability to deal with frequent interruptions and tight deadlines
Ability to work on multiple tasks and projects at the same time
Well-developed analytical and problem-solving abilities
Strong oral and written communication skills
Ability to work independently and in a team setting
Significant overtime and travel with a high degree of accountability required
