Position : Office Administrator / Executive Assistant

Location : East Ottawa (Rockland / Embrun area) on-site work environment

Salary : Up to $75,000 based upon experience, group benefits, 3 weeks vacation plus other perks

Excellent opportunity for a dynamic Office Administrator seasoned supporting senior management in a demanding environment.

This key position is pivotal in ensuring smooth administrative operations and providing support to senior management in their strategic functions.

Must be adept at multitasking, maintaining confidentiality, and communicating effectively across various levels of the organization.

Reports to the General Manager and Director of Human Resources.

Responsibilities include :

  • Serve as the point of contact between directors, employees, customers, and external partners.
  • Provide ongoing support to superiors and the management team.
  • Manage the flow of information accurately and swiftly.
  • Manage executives' schedules, organize meetings, oversee travel and accommodation arrangements.
  • Act as an Office Manager ensuring compliance with rules and managing office supplies inventory.
  • Draft communications for internal and external distribution including memos, emails, presentations, and reports.
  • Screen communications and manage telephone calls.
  • Plan and coordinate special projects, seminars, or events.
  • Coordinate and manage staff and member files and databases.
  • Assist in administrative management, coordination, and support of HR processes.
  • Support senior management in report production and preparation of documentation, policies, and presentations.

Qualifications :

  • Post-secondary education in general administration or related discipline.
  • At least 10 years of experience.
  • Fluent in French and English (oral and written); excellent skills in document editing, letter writing and, report presentation.
  • An elevated level of discretion and confidentiality, a sense of commitment, loyalty.
  • Strong leadership skills to manage a small administrative team.
  • Strong proficiency using various MS Office products
