The Opportunity
We are looking for a powerhouse Client Care & Operations Coordinator to bridge the gap between high-level client service and back-end business efficiency.
This role is partly Client Relations & Sales (serving as a warm brand ambassador who proactively converts inquiries into bookings) and partly Operational Excellence (managing data, reporting, and digital workflows). You aren’t just booking appointments; you are managing a complex sales pipeline and ensuring the financial and operational data of the studio is flawless.
Key Responsibilities
- Main Point of Contact : Serve as the first touchpoint - greeting clients with warmth, answering inquiries in real-time (GHL / Instagram), and handling feedback with grace.
- Lead Conversion : Actively convert inquiries into confirmed appointments by communicating the value of our services and following up on consultations.
- Sales Support : Implement monthly promotions and confidently introduce products, packages, and add-on services to clients via phone, email, and in-person.
- Client Success & Retention : Help clients celebrate their results by highlighting successful outcomes and encouraging them to share their experiences and return for future care.
Studio Operations & Systems Integrity
Scheduling : Coordinate daily studio flow by managing appointments in and GHL, resolving overlaps, oversee the GHL to Google Calendar syncing, and ensuring aestheticians have the scheduling support they need.Reporting & Financial Accuracy : Execute daily, weekly, and monthly reporting routines with meticulous attention to detail. This includes reconciling sales data, auditing pay sheets, and tracking inventory with 100% accuracy.Digital Management : Oversee the "behind-the-scenes" tech - assigning treatment rooms, monitoring automated client communications, and ensuring all digital medical consent forms are complete and filed.Event Coordination : Assist with workshops, appreciation days, and launches by handling RSVPs, welcome gifts, and post-event follow-up.Brand Presentation : Maintain the studio’s high aesthetic standards by ensuring promotional materials, signage, and displays are always up to date, on-brand, and beautifully presented.Visual Portfolio : Collect and organize content for reviews and before-and-after visuals; maintain the digital studio gallery and update Canva portfolios daily.Marketing Collaboration : Partner with the digital marketing team to ensure consistent branding and messaging across all client touchpoints.Qualifications
Tech-Fluent : Proficiency with (or ability to quickly master) GoHighLevel (GHL), Google Workspace, Excel, and Canva.The "Systems" Brain : You genuinely enjoy organization and understand that precision is non-negotiable when it comes to sales and financial data.Exceptional Communication : You have a "sales-friendly" mindset and feel comfortable in a consultative role.
