The Opportunity

Reporting to the Clinical Manager, the Registration and Scheduling Clerk’s primary responsibilities are to complete patient booking / scheduling, participate in patient registration.

  • Additional responsibilities may include, but are not limited to : Answers telephone / e-mail inquiries and communicates messages and information accurately by referring inquiries, with follow-up, as appropriate;
  • Photocopies reports and correspondence; distributes accordingly; Prepares daily schedules; Attends team meetings, takes / produces and distributes minutes, as required;
  • Prepares patient charts, maintains office filing system & records to ensure efficient storage and retrieval of material;
  • scanning and archiving. Processes incoming and outgoing mail; Demonstrates customer service skills; Schedules patient appointments and registers patients via Meditech;

Manages inventory of supplies and places orders, as required.

Hours of Work

Monday Friday, with some evenings as required.

Your Qualifications

  • Minimum High School Diploma or G.E.D. required.
  • Graduate from a recognized office administration diploma program preferred
  • Previous experience in a health care setting, an asset
  • Demonstrated accurate keyboarding and data entry skills, required. Testing may be conducted on short-listed candidates with results will be factored into the candidate's overall suitability for this position.
  • Basic knowledge of computer programs, including email and MS Word, required.
  • Working knowledge of office equipment (e.g., fax machine, photocopier, scanner, etc) required (testing may be conducted).
  • Demonstrated strong time management, analytical, and problem-solving skills required.
  • Demonstrated excellent organization skills, strong communication (verbal & written) and interpersonal skills required.
  • Demonstrated ability to prioritize workloads required.
  • Demonstrated initiative; self-motivated and able to work with minimal supervision / direction required.
  • Demonstrated high regard for quality, accuracy, and attention to detail required.
  • Demonstrated ability to work well with others and in an interprofessional team required.
  • Demonstrated flexibility to meet workload demands required.
  • Excellent judgment and discretion in handling confidential and / or sensitive information required.
  • Experience in patient scheduling / booking preferred. Experience with Community Wide Scheduling (CWS) an asset.
  • Competency in other languages an asset; French & Arabic preferred.
