Job Title : Personal Assistant to Director

Job Overview :

As a Personal Assistant to the Director, you will provide high-level administrative support to ensure the efficient functioning of the director's office.

This role involves managing the director's schedule, coordinating meetings and travel arrangements, handling confidential information, and assisting in various organizational tasks.

The Personal Assistant plays a pivotal role in enhancing the director's productivity and effectiveness.

Office Time : Canada Time :

Job Location : Virtual

Preference will be given counselor.

Key Responsibilities :

1. Calendar Management :

  • Coordinate and manage the director's schedule, including appointments, meetings, and travel arrangements.
  • Anticipate and prioritize the director's commitments, ensuring optimal time management.

2. Communication :

  • Handle and screen phone calls, emails, and other communications on behalf of the director.
  • Draft and prepare correspondence, reports, and presentations as needed.

3. Meeting Coordination :

  • Schedule and organize internal and external meetings, including logistics and preparation of meeting materials.
  • Attend meetings, take minutes, and follow up on action items.

4. Travel Arrangements :

  • Arrange domestic and international travel for the director, including flights, accommodations, and transportation.
  • Prepare detailed itineraries and ensure travel-related documents are in order.

5. Document Management :

  • Organize and maintain physical and electronic files, ensuring easy retrieval of information.
  • Handle sensitive and confidential information with discretion.

6. Task Prioritization :

  • Assess and prioritize tasks to ensure the director's time is utilized efficiently.
  • Proactively identify and address potential issues before they arise.

7. Administrative Support :

  • Provide general administrative support, such as photocopying, filing, and expense report preparation.
  • Assist in the preparation of presentations and reports.

8. Relationship Management :

  • Interact professionally with internal and external stakeholders on behalf of the director.
  • Build and maintain positive working relationships with key contacts.

Qualifications :

  • Bachelor's degree in Business Administration, Office Management, or a related field.
  • Proven experience as a Personal Assistant or Executive Assistant.
  • Strong organizational and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Proficient in MS Office Suite and other relevant software.
  • Ability to handle confidential information with discretion.
