As an Implementation Advisor, you will play an important role in guiding clients through the implementation process. You will oversee each new client onboarding as a project, monitoring progress to ensure timely milestone completions and escalating to appropriate stakeholders when needed. You will also coordinate client meetings and collaborate with cross-functional teams to support a seamless transition from sales to operations. This role is ideal for someone with strong organizational skills, attention to detail, and a passion for delivering excellent client service.
Key Responsibilities :
Project Milestone Management :
- Monitor project milestones for accuracy and timely completion.
- Track progress, identify risks, and take proactive actions to mitigate delays.
Client Engagement & Communication :
Act as the primary point of contact for clients throughout the implementation process.Host regular progress meetings (as needed and per SLA) to provide status updates, address concerns, and gather input from the team.Send onboarding and milestone emails and ensure clear, timely communication with clients.System Setup & Configuration :
Review sales notes and complete or review client setup tasks, including creating records, configuring mailboxes, and onboarding applications.Ensure the client mailbox is operational and added to the watchlist of relevant team members.Client Introduction & Onboarding :
Conduct introductory calls to review the onboarding process.Facilitate compliance, Treasury Onboarding, and Legal requirements, ensuring milestones are updated and all necessary documentation is obtained.Kickoff & Progress Calls :
Schedule and lead the client kickoff call to establish expectations and identify any additional implementation support needs.Ensure all client interactions and events are logged by the team for accurate tracking.Reporting & Risk Management :
Prepare internal and external status reports, highlighting achievements, risks, overdue items, and key metrics.Escalate risks promptly to the Client Relationship Manager and appropriate teams while ensuring proper documentation of events.Team & Cross-Functional Collaboration :
Participate in fund-specific group chats to foster team communication and knowledge sharing.Collaborate with Sales, Operations, Compliance, Legal, and other departments to deliver seamless coordination and exceptional service.Handoff & Transition to Operations :
Ensure smooth transition of completed projects to the operations team, providing all necessary documentation and notifying the client before concluding the implementation phase.Required Skills & Qualifications :
Experience in the hedge fund administration industry in a client-facing capacity.Proven experience in client onboarding, implementation, or project coordination is ideal.Strong organizational and time-management skills with attention to detail.Excellent communication and interpersonal skills to manage client relationships.Ability to track multiple projects and escalate issues appropriately.Familiarity with CRM or project management tools is a plus.
