We are seeking a highly organized and detail-oriented Junior Legal Assistant to support two lawyers in a busy real estate and wills & estates practice.
The ideal candidate will have experience in legal administration, be proficient in managing multiple tasks, and possess excellent communication and time management skills.
You will play a critical role in ensuring the smooth operation of the practice by providing administrative and legal support in two key practice areas.
Key Responsibilities :
Real Estate Transactions :
- Prepare and review documents for residential and commercial real estate transactions (e.g., agreements of purchase and sale, deeds, mortgage documents).
- Assist in title searches, registrations, and discharges using relevant software
- Liaise with clients, real estate agents, mortgage brokers, and other parties to coordinate closings and ensure timely completion of transactions.
- Manage deadlines, follow-up on outstanding matters, and handle post-closing activities.
Wills & Estates :
- Prepare wills, powers of attorney, trust agreements, and other estate planning documents.
- Assist in probate applications and estate administration.
- Communicate with executors, beneficiaries, financial institutions, and government agencies as needed.
- Maintain and organize client files related to estate planning and administration.
Administrative Duties :
- Manage lawyers’ calendars, schedule appointments, and handle incoming calls and emails.
- Organize and maintain electronic and physical client files, ensuring confidentiality and accuracy.
- Draft correspondence, memos, and legal documents with attention to detail and clarity.
- Assist in billing and time entry, ensuring timely and accurate invoicing of clients.
- Perform general office duties such as photocopying, filing, and ordering supplies.
Qualifications :
- Diploma or certification in legal administration or a related field.
- Minimum of 2 years of experience as a legal assistant, preferably in real estate and / or wills & estates.
- Proficiency with legal software and Microsoft Office Suite.
- Strong knowledge of real estate transaction processes and estate planning procedures.
- Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Strong attention to detail and accuracy in document preparation and review.
- Excellent communication skills (both written and verbal) and the ability to interact professionally with clients and other parties.
- Ability to work independently and as part of a team in a fast-paced environment.
