PURPOSE SUMMARY :
The People and Culture (P&C) Assistant ensures Compassion Canada’s People and Culture functions effectively and efficiently, allowing us to focus on our mission.
The People and Culture Assistant will be a key contact for both current and prospective employees and external stakeholders.
This position is responsible for assisting with and supporting a variety of People and Culture functions ranging from specialized projects to day-to-day operational tasks.
Handling highly sensitive and confidential employee and organizational information is a key component of this position. This People and Culture Assistant provides support to others and requires a demonstration stewardship in all aspects of work.
This position will report to the Director of People and Culture Resources.

TASKS & RESPONSIBILITIES
- Provide exemplary support and service with a focus on collaborating with and assisting others which models Compassion’s cultural behaviours.
- Responsible to engage with our staff on a spiritual level, praying with them, providing them with resources and demonstrating core values.
- Responsible for maintaining a personal relationship with Jesus and healthy Christian accountability as someone who is highly responsible in supporting and influencing the Christian ethos and values of Compassion Canada.
- Assist with the day-to-day operations of the People and Culture Resources functions and duties.
- Provide administrative and clerical support to the People and Culture Team and Chief People Officer, such as scheduling meetings, updating internal databases, organizing Human Resources information, and maintaining pristine records and systems that support the People and Culture Team.
- Manage electronic files and ensure up-to-date databases and record keeping.
- Create personnel files and profiles in Dayforce, Compassion’s Human Resources Information System (HRIS), ensuring accuracy and consistency in data entry, maintenance, and reporting.
- Employee data management, benefits enrolment, changes and updates.
- Monitor People and Culture inboxes and respond to employee queries, triage and escalate as necessary.
- Support the People and Culture Team in updating and maintaining all People and Culture reference materials, resources and ensuring all policies are relevant, accurate and comply with government guidelines.
- Track completion of projects and compliance tasks and other initiatives as required.
- Track and facilitate processing of reimbursements for professional development and fitness benefits.
- Maintain time away from work data, handle approval workflows in Dayforce.
- Provide payroll support ensuring prompt update of employee status changes and workflow management in Dayforce.
- Prepare and support the creation of People and Culture documentation including letters, e-newsletters, memos and People and Culture communication templates.
- Support talent acquisition including job posting, interview scheduling, reference checks and candidate support.
- Perform other related duties and tasks as required to meet the Divisional and Organizational operations' needs.
WHO YOU ARE MATTERS
KNOWLEDGE, SKILLS & ABILITIES
- Highly proficiency in Microsoft Office Suite (Outlook, Word, Excel, SharePoint, Forms, PowerPoint), Project Management tools and HRIS software or databases.
- Experience in Dayforce, Asana or payroll software considered strong assets.
- Proficiency in using Scribe, Adobe and Canva for creating of standard operating procedures, guides and resources.
- Exceptional time management skills with experience in project management frameworks and software with exposure to agile methodologies.
- Meticulous attention to detail with exceptional verbal, written and numeric accuracy.
- High level of integrity and professionalism, working with confidential and sensitive data.
- Self-directed individual who takes initiative to support continuous improvement and can work with minimal supervision in a distributed work environment.
- Excellent written and verbal communication skills with capability to interact with all levels within the organization and external stakeholders.
- Fully aligned with the message, mission, and ministry strategy of Compassion Canada.
WHAT YOU BRING MATTERS
EDUCATION & EXPERIENCE
- Post Secondary education in human resources, business administration or other related field or minimum of two (2) years' experience in mid-level administrative experience with an emphasis in Human Resources.
- Knowledge of employment labour laws, human rights, and Canadian Human Resource legislation considered a strong asset.
- Fluency in database management and experience with HRIS and project management software, and Microsoft Suite.
- Familiarity with Human Resource policies, procedures, and practices, and the ability to assist in implementing them effectively.
WORKING CONDITIONS
- Remote-First Employment : All staff who are not in-office essential default to remote or telecommuting depending on their distance to the Compassion office.
- Travel and Overtime may be required
