Job Summary :
We are seeking an organized, professional, and confident communicator to serve as the first point of contact for our company's clients. The Virtual Receptionist will manage all incoming communications, schedule appointments, and provide reliable administrative support, all from a remote work environment.
- Communication Management : Answer, screen, and route a high volume of incoming phone calls professionally using VoIP systems. Manage inquiries via email, live chat, and online forms, ensuring timely and professional responses.
- Scheduling & Calendar Coordination : Utilize online calendar systems (e.g., Google Calendar, Outlook, Calendly) to schedule, reschedule, and cancel appointments, managing multiple time zones and minimizing no-shows.
- Message Handling : Take detailed messages and ensure they are delivered to the appropriate staff members promptly.
- Client Information & Data Entry : Gather new client information, update contact lists, and maintain accurate records in the Customer Relationship Management (CRM) system
- Administrative Support : Perform various clerical tasks such as managing digital files, preparing meeting agendas, logging customer requests, and generating end-of-day reports.
- Payment Processing : In some roles, securely collect payments over the phone or process invoices.
