GENERAL DESCRIPTIONThe Project Manager has overall responsibility for completing projects on time and within orbelow budget. - Adapt and Adjust : Remain flexible and adjust your approach as needed to reachthe ultimate goal.ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIESProject Manager’s main goal is to help his / her subordinates succeed and ensure that all Sosnaprojects are completed on time and with estimated Gross Profit.SALES / MANAGEMENT : 1. Participate in a weekly management meeting with Construction Manager :
- Take notes and record all information and tasks assigned during the meeting
- Review status of jobs, including client disposition
- Prepare and Review schedule (3 week look-aheads, budget, job costing reports andany other meaningful information)2. Revise and update production schedule for each project on a weekly basis.DESIGN : 33. Attend Design meetings and provide general help, advice and consultations to Designers &Estimators in a timely manner.4. Review and approve Designer’s suggestions to clients.5. Check Design job sites and provide mechanical inspection report (Form #16). Discoverpotential problems before Construction starts.6. Arrange and obtain necessary information and quotes from Consultants and Subcontractorsif requested by Designer, Estimator or a Sales person.7. Review final design drawings before D to S hand over.8. Calculate material take offs and quantities for Designers to order.PRE-CONSTRUCTION : 9. Assign jobs to Site Leaders to projects.10. Prior to the start of work, meet with the salesperson and client(s) in a pre- constructionmeeting to discuss details and decisions made by the client(s).11. Go over Green Binder and drawings with Site Leader before work starts and review allCheck lists.12. Produce a list of items that are not yet resolved in the job binder. Inform the Salesperson ofthese deficiencies in a timely manner.13. Verify with the Designer if building permit has been obtained, and obtain the Permit ifnecessary.14. Review material lists prepared by Site Leaders and place special material orders prior to jobstart as needed.15. Review and finalize trade contractor prices / quotes :
- Renegotiate with trade contractors if necessary
- Schedule their work providing them with good lead times
- Communicate all information to Site Leader16. Confirm the construction start date with the Construction Manager.17. Schedule and assign field crew to help Site Leaders achieve successful project completion.PROJECT OVERSIGHT AND INVOLVEMENT : 18. Maintain clear communication between client, Designer and production staff throughoutthe job by weekly meetings (if job size is appropriate), regular phone contact, or writtencommunications.19. Keep the clients informed in a timely and calm manner. Schedule and attend weekly “HealthCheck meetings” or schedule weekly phone calls.420. Visit job sites as needed, at least once a week (twice is best), to verify layout and to checkwork before the next phase is implemented.21. Be another set of eyes for the Site Leader, monitor securing habits, gauge client'stemperature, and check out job site management, including cleanliness and job site sign.22. Ensure that Sosna safety standards are being followed on all job sites. Have non-compliantitems and conditions corrected immediately.23. Act as a resource person for Designer and Site Leader, which may include answeringquestions, pursuing difficult information, providing more resources as necessary, makingscheduling changes, troubleshooting building inspection, or trade contractor problems.24. Interact with building officials, architects, engineers, and clients as needed to resolve issues.25. Review progress, task lists, 3-week lookaheads and schedules with each Site Leader weekly.26. Be a back up person to Site Leaders for after-hours emergencies.27. Provide Hands-on work when necessary (structural beams, crown moldings, doors, etc).28. Provide feedback to field crew to acknowledge good performance and identify areas forimprovement. The feedback must be provided in a calm and respectful manner.29. Assist Site Leaders and / or Estimator in preparing Change Orders.30. Review and approve all requests for payment to subcontractors and special order items.31. Follow through on current and past client concerns and questions :
- Respond by phone or email to all current and past client’ requests within 48 hours,including warranty work
- Coordinate and manage the above and delegate tasks to appropriate personnel
- Take care of small jobs with little or no in-house labor (trade contractors only)32. As each project nears completion, create a list of all items that still need to be completedwith the Site Leader at a “Critical 10” meeting. Ensure that this work is done before theclient walk around so that few, if any, items appear on the client's Deficiencies list. The goalis to have a 0 items punch list.33. Obtain signed Certificate of Completion and attend final Walk-around meetings with clients.34. Adhere to Sosna standards of workmanship to ensure that we complete projects on timeand within budget.35. Keep the produced gross profit the same or better than the estimated GP.36. Review with Admin and Approve invoices from Trade contractors on a bi-weekly basis.MAINTAIN AN ADEQUATE WORKFORCE OF CARPENTERS AND TRADE CONTRACTORS : 37. Assist in Hiring and terminating field employees, with final approval of the ConstructionManager.538. Train field employees to work efficiently. Help them understand our processes and systems.39. Give all field crews Clear instructions and tasks with a completion time frame. Obtainconfirmation when the task is completed.40. Provide yearly performance reviews of all field employees and trades; recommend wagerates.41. Have lunch or coffee off site with each field employee at least once a year to gaugeemployee morale.42. Review and approve field employee time-off requests and maintain vacation schedules.43. Always lookout for good talented workers, trades / suppliers and try to bring them on boardwith Sosna.GENERAL RESPONSIBILITIES : 44. Create calm in the chaos.45. Uphold good spirits in the company and make all Sosna Designers, field workers, andcontractors feel respected and appreciated.46. Establish and maintain cooperative and productive work relationships with otheremployees, clients, trade contractors, suppliers, inspectors, and others.47. Demonstrate open, honest, timely, and clear communication.48. Demonstrate enthusiasm about work.49. Show willingness to learn new skills, information, and methods to pursue continuousimprovement.50. Provide encouragement, recognition, constructive feedback, and coaching to all teammembers.53. Approve tool allowance requests under $200.54. Assign warranty work and monitor progress and completion.55.
