The Opportunity - Project Coordinator, temporary

The Project Coordinator is a full-time dedicated resource integral to the Alberta College and Polytechnic Applied Research Network (ARN) Project at Olds College. This position is central to the 12-month pilot initiative focused on developing a collaborative operating model for applied research and network development.

The ARN Project aims to establish a cohesive, province-wide ecosystem that effectively connects industry, particularly small and medium-sized enterprises (SMEs), with Alberta’s leading polytechnics and colleges. The Project Coordinator will work across five partner institutions—Southern Alberta Institute of Technology (SAIT), Northern Alberta Institute of Technology (NAIT), Red Deer Polytechnic (RDP), Northwestern Polytechnic (NWP), and Olds College of Agriculture and Technology —to drive innovation, economic growth, and industry collaboration. The role's primary focus is to act as the hub of information sharing and activities across the network, emphasizing the development and execution of collaborative projects using managing shared resources as well as developing and managing joint meetings for training, networking and institutional knowledge sharing.

This position reports to the Director, Applied Research at Old College.


Key Job Functions:

The Project Coordinator is responsible for coordinating activities across the network, including:

Institutional Coordination

  • Coordinate meetings among institutional network staff and support partner governance activities, including agenda development, scheduling, minute-taking, and follow-up action tracking.
  • Facilitate collaboration between institutional leaders, researchers, and industry partners to advance shared priorities and cross-institutional project opportunities.
  • Serve as the primary point of contact for network partners, ensuring consistent communication and alignment across all five institutions.

Performance and Metrics Tracking

  • Track metrics and business outcomes on behalf of network partners to measure project success, including activity reporting, partnership engagement, and project outputs.
  • Develop dashboards, summaries, and progress reports to provide regular updates to institutional leaders and the project governance team.
  • Support continuous improvement by identifying trends, successes, and gaps in project performance.

Communication Management

  • Ensure clear, timely communication among partners regarding joint research activities, training sessions, governance meetings, and collaborative initiatives.
  • Prepare and distribute communication materials such as briefings, updates, newsletters, and meeting notes to keep all stakeholders informed.
  • Maintain centralized documentation and shared resources for easy access and knowledge sharing across the network.

Process Development

  • Contribute to the development of the ARN operating framework by researching collaborative models, tools, and best practices used in innovation networks and applied research ecosystems.
  • Explore and recommend systems or platforms that support cross-institutional collaboration, resource sharing, and industry engagement.
  • Assist in developing standardized processes, workflow guides, and templates that strengthen consistency and efficiency across the network.

Network Building and Relationship Development

  • Support efforts to strengthen the Alberta College and Polytechnic Applied Research Network by cultivating relationships with institutional partners, industry organizations, SMEs, and community stakeholders.
  • Assist in organizing networking opportunities, knowledge-sharing sessions, and cross-institutional workshops to enhance collaboration and build a cohesive network culture.
  • Identify opportunities for joint initiatives, shared resources, and coordinated activities that advance applied research across Alberta.

Administrative and Operational Support

  • Provide comprehensive administrative support to the project including scheduling, documentation, file management, coordination of travel arrangements, and handling general inquiries.
  • Assist with budget tracking, expense submissions, and procurement activities related to project needs.
  • Maintain organized project records, ensuring accuracy, version control, and alignment with institutional requirements.
  • Support preparation of reports, briefing materials, presentations, and communication packages for internal and external audiences.

Education/Experience/Skills/Knowledge Required:

  • A post-secondary education with a Degree in a relevant field (i.e Business Administration, Project Management) or a combination of education and appropriate experience may be considered.
  • Minimum of five (5) years of relevant experience such as project coordination/management, stakeholder engagement, reporting and data tracking.
  • Proven experience in coordinating and managing complex projects, particularly those involving multidisciplinary teams across multiple institutions.
  • The capability to explore and implement solutions for resource sharing and optimization within a collaborative network.
  • Experience in facilitating collaboration and maintaining clear communication among diverse stakeholders, including institutional leaders, researchers, and industry representatives.
  • Ability to establish and utilize systems for tracking metrics and business outcomes to evaluate project success.
  • Proficiency in both the Google and Microsoft suites of office and business communication software.
