Our client has a Finance ERP initiative (Financial Administrative Systems Transformation and Re-Engineering Program (“FASTR”)). The initiative will be crucial in preparing and enabling the organization for transformational change in providing financial services to our client. This will be supported through a new world-class and cloud-based ERP system that will enable the client to transform and digitize paper-based processes to a streamlined and integrated process flow.
The role requires the following deliverables.
Develop roles and responsibilities matrix (RACI) for the FASTR program for both FASTR team and vendor teams
Configure / construct framework for project plan (PM framework)
Create initial project plan addressing near-term activities; migrate current project plan to agreed on project management tool
Create / develop standardized status and budget reports for FASTR team and different executive teams as required
Create / develop a methodology for approving vendor invoices per SOW / contract, aligning with vendor's project plan for the next sprint / time-frame
Manage project resources as required
Familiarize with the FASTR program and stakeholder groups.
Working with our Organizational Change Manager, identify key contacts and establish communication channels
Create and configure Share-Point Site(s) for document storage and collaboration (for vendor)

Responsibilities
The Senior Project Manager will Support the FASTR Program Team with all aspects of day-to-day project management.
Manage the FASTR budget, and create spending projections based on resource utilization.
Develop templates, maintain, collect, and deliver project status reports.
Work with the FASTR Program Team and key stakeholders to prepare all plans and documents, and implement changes required to execute the initial phase of the SOW with a major supplier—onboarding and preparation for stakeholder sessions.
Facilitate and run the delivery of required acceptance criteria for vendor deliverables together with the BSAs and stakeholders on the program. Collect feedback from key stakeholders on which elements of the project plan and stakeholder session schedules need clarification, review, or potential alteration in the initial stage of the project, according to the plan and SOW with the supplier.
Prepare for the execution of the key elements of the SOW with the supplier.
Ensure all resources are identified, and assigned, and tasks delegated as per the plan.
Ensure all resources are delivered as per expectations and plan.
Communicate acceptance criteria to the suppliers and facilitate milestone acceptance according to SOWs with the supplier(s).
Execute agreed-on escalation processes when required.
Set up an agreed-on way of working to ensure that meetings, such as standups, are in place to keep the project on track and address any blockers.
Maintain and run a risk log and hold risk management sessions.
Attend and manage meetings with the Program Executive and their team, following an agreed-on agenda.
Qualifications
Minimum 5–7 years of project management experience, with at least 3 years specifically in large-scale financial system implementations.
Strong understanding of ERP solutions (e.g., Workday, Oracle, SAP) and financial modules like budgeting, general ledger, restricted funds and procurement.
Functional area expertise would be an asset.
Proficiency in project management software (e.g., Azure Dev Ops, MS Project) and RFP evaluation tools.
Proven track record managing programs and projects using industry standards (such as PMI) to execute in an agile, waterfall or hybrid environment.
An undergraduate (Master’s degree preferred) in Business, Information Technology or related field.
Project management certification (PMP) or equivalent is required.
Competency in Business Analysis (CCBA) or Certified Business Analysis Professional (CBAP) or Change Practitioner (Prosci) is considered an asset
Experience working in a highly collaborative and inclusive higher education institution (preferably research intensive) and the Financial industry sector is highly valued.
Demonstrated understanding of and experience utilizing organizational change management principles and approaches.
Strong leadership and influencing skills.
Ability to thoroughly assess implications of proposed policy / processes changes.
Excellent organizational and planning skills.
Flexible and able to adapt project planning to meet stakeholder needs.
Excellent communication skills, both oral and written, with demonstrated ability to liaise with internal and external stakeholders at all levels of the organization.
