DEPARTMENT SUMMARY

The Region Office Operations Division is responsible for providing operational and administrative support services to members of the Advisor network in Region and Division offices across the country.

POSITION SUMMARY

The Coordinator, Region Office Operations serves as the primary point of contact, delivering services to both internal and external clients of IG Wealth Management. The role involves welcoming clients at reception, addressing inquiries related to key business transactions, and handling general administrative and facility support tasks.

RESPONSIBILITIES

  • Reception duties : Welcome clients and office members, manage incoming calls, and oversee supply inventory.
  • Mail and courier management : Receive, prepare, and distribute mail and couriers.
  • Meeting room and facilities support : Arrange meeting rooms, set up technology, maintain office equipment, and conduct regular facilities reviews.
  • Advisor network support : Provide guidance on policies, procedures, and resources, including training on digital tools.
  • Onboarding and training : Assist with onboarding new members, system training, form information, office procedures, escalation support, and general inquiries.
  • Administrative support : Offer additional assistance to the Manager, Region Office Operations as needed.
  • Travel : Floater travel to nearby office locations weekly / biweekly / monthly; occasional travel for coverage when necessary, with mileage reimbursement.
  • QUALIFICATIONS

  • Minimum 2 years of administrative and reception experience, preferably in the financial services industry.
  • Post‑secondary education in a business discipline is an asset.
  • Client‑service orientation : Understanding and addressing the needs of internal and external clients.
  • Accountability : Results‑oriented, takes ownership and delivers on commitments.
  • Communication : Clear, concise, tactful, active listening, and consistent communication.
  • Critical thinking : Ability to problem‑solve and communicate solutions effectively.
  • Teamwork : Works collaboratively with others to achieve common goals and adds value.
  • Organizational skills : Prioritizes multiple tasks under tight deadlines with discretion.
  • Technical proficiency : Microsoft Office 365, MFDs, and Microsoft Teams technology support.
  • Agile learner with a desire for continuous improvement and development.
  • Knowledge of French and English to support clients and team members within and outside Quebec.
