About Us
Family Focus Medical Clinic is committed to delivering high-quality healthcare services with compassion and professionalism. Our dedicated team provides exceptional patient care in a supportive and welcoming environment. We are currently seeking a motivated and detail-oriented Medical Office Assistant (MOA) to join our Clinical Assessment team.
Please note this role will be approximately 20 hours per week (hours may increase as the practice grows) both onsite at our Bedford clinic as well as in a virtual setting.
Role Overview
As the MOA, you will play a key role in ensuring the efficient operation of our Assessment Clinic. This position involves overseeing administrative functions, optimizing scheduling and billing, supporting healthcare professionals, and maintaining a high level of customer service for our Patients community.
Key Responsibilities
Administrative & Patient Coordination
Schedule Patients appointments within 24–48 hours of initial contact.
Manage and optimize provider schedules to maximize efficiency and billing while ensuring high-quality care.
Create and maintain patient profiles in the Electronic Medical Records (EMR) system.
Pre-fill forms with patient demographics and clinic details for patients.
Confirm appointments, ensuring Patients receive necessary details, complete required forms, and have accurate location information.
Upload, verify, and organize completed forms in designated folders and EMR systems.
Scan and forward completed documents for processing.
Business Operations & Growth
Oversee billing and collections, ensuring all services are accurately billed and tracked for private pay institutions.
Support clinic expansion efforts into multiple provinces.
Develop and maintain policies, procedures, and manuals to ensure operational efficiency.
Support overall business unit organization and workflow.
Qualifications & Skills
Diploma or certificate in Medical Office Administration or a related field.
Minimum of 3 years of experience in a healthcare or medical office setting.
Proficiency in Microsoft Office Suite and Electronic Medical Records (EMR) systems.
Strong organizational skills with the ability to multitask in a fast-paced environment.
Excellent communication and interpersonal skills with a professional and compassionate approach.
High level of confidentiality, accuracy, and attention to detail.
Ability to work both independently and collaboratively within a team.
