The Senior Proposal Coordinator will be responsible for overseeing the end-to-end process of RFP / RFQ management, from identifying opportunities to finalizing proposal submissions. This role includes providing comprehensive project details to the Operations team to ensure the successful and profitable execution of orders.
Key Responsibilities :
- Analyze RFP / RFQ documents and support tools for tracking and prioritizing quotations through the proposal process.
- Ensure proposals align with company strategy, offerings, and pricing.
- Tailor proposals to meet client needs while ensuring high-quality standards and compliance.
- Collaborate with the PMO to manage proposal timelines and ensure deadlines are met.
- Gather missing data from Customers, Distributors, and internal teams.
- Work with Business Development Managers, Regional Managers, and Operations to determine the best customer solutions.
- Maintain client relationships as the main point of contact for proposal-related inquiries.
- Prepare project quotes, ensuring they address all commercial, design, and manufacturing requirements.
- Manage risks in proposals (financial, legal, operational), collaborating with the Finance Director for risk mitigation.
- Coordinate with sales, technical, legal, and finance teams to ensure all proposal aspects are covered.
- Oversee procurement accounts, including invoicing and documentation.
- Prepare customized quotations per company margin guidelines.
- Identify process improvements to enhance proposal efficiency and win rates.
- Create standard matrices based on best practices to streamline quotation processes.
- Update project status in CRM for sales forecasting and report generation.
- Provide project hand-offs to operations and support other teams as needed.
