We are seeking a highly organized, proactive Office and Operations Manager to oversee administrative operations, accounting coordination, and project support for a growing, design-forward organization operating across Canada and the United States. This role is ideal for someone who thrives in a hands‑on environment, enjoys wearing multiple hats, and takes pride in keeping operations running smoothly and efficiently.
The Office and Operations Manager will play a central role in supporting day‑to‑day business functions, ensuring strong internal coordination between office, warehouse, and installation teams, and maintaining high standards of professionalism and service.
Key Responsibilities
- Manage incoming phone calls and customer service inquiries with professionalism and responsiveness
- Oversee general office administration, filing, and documentation
- Troubleshoot and resolve day‑to‑day office issues to ensure smooth operations
- Coordinate closely with warehouse and logistics teams to support order flow and fulfillment
- Enter, track, and manage invoices using accounting software (e.g., QuickBooks)
- Coordinate invoice processing and documentation with internal teams
- Oversee Accounts Payable (AP) and Accounts Receivable (AR) processes
- Prepare and review month‑end financial reports
- Manage monthly sales tax filings and reconciliations
- Process daily cheque deposits using in‑office scanning tools
- Schedule and coordinate third‑party installation teams
- Create and maintain project tracking tools, including schedules and budget tracking spreadsheets
- Monitor workflow to support on‑time, on‑budget project completion
- Act as a key point of coordination between internal teams and external partners
