Gatherings—Archival and Oral Histories, is a research project supported through a Social Sciences and Humanities Research Council Partnership Grant. This project involves thirteen researchers working in collaboration with a range of partners and collaborators across the country to develop exhibitions, artistic residencies, publications, symposia, and special research and creative events and initiatives to promote the study and knowledge of diverse performance histories across the land now called Canada.

Your opportunity :

The Administrative Assistant will provide support in administrating and tracking the collaboration between researchers and partners involved in the Gatherings : Archival and Oral Histories of Performance research project. The Administrative Assistant plays a key role in supporting the project’s Directors and Chairs in tracking the fulfillment of project objectives and deliverables. The incumbent will be a central resource to the project responsible for a range of administrative processes such as maintaining records, disseminating information, coordinating meeting schedules, supporting events logistics, and supporting the expense reimbursement process. This position will be located at the host institution, the University of Toronto, but the Administrative Assistant will support collaboration with researchers located across Canada.

Your responsibilities will include :

  • Scheduling day-to-day project activities
  • Tracking and collecting information on project progress
  • Coordinating tasks for projects and other strategic initiatives with stakeholders
  • Updating and maintaining records
  • Writing routine documents and correspondence
  • Scheduling travel plans and requesting appropriate accommodations
  • Determining logistical details and activities for events and / or programming
  • Obtaining required authorizations and signatures to process financial documents

Essential Qualifications :

  • A College Diploma in a relevant field. A Bachelor’s Degree in Drama, Theatre and Performance Studies, or relevant field, with familiarity in the full range of the disciplinary field and its archives and methodologies is highly preferred.
  • A minimum of 2 years relevant experience in providing administrative support.
  • Intermediate experience with financial and procurement policies and guidelines.
  • Experience supporting complex, multi-stakeholder projects.
  • Familiarity with event administration.
  • Effective oral communication, project reporting and writing skills, with the ability to facilitate and plan engaging team meetings that harness creativity.
  • Strong presentation skills, with the ability to deliver engaging and informative presentations that clearly explain technical information to non-technical audiences, potential partners and collaborators.
  • Strong interpersonal skills : ability to work collaboratively with internal and external stakeholders
  • Proficiency in MS Office (Word, Excel, PowerPoint), Google Office Suite (Drive, Sheets, Calendar, Slides, Docs), Zoom, Canva, and Squarespace
  • Assets (Nonessential) :

  • Event management experience that includes theatre and performance production and academic knowledge mobilization frameworks.
  • Experience engaging with professional and non-professional theatre and performance artists and community practitioners from diverse backgrounds.
  • Understanding of equity priorities and processes in the landscape of theatre and performance studies within Canada.
  • Understanding and cognizance of Accessibility, Equity, Diversity and Inclusion frameworks and practices across both scholarly and theatre and performance professional contexts.
  • Ability to deliver engaging and informative presentations that clearly explain technical information to non-technical audiences, potential partners and collaborators.
  • Strong leadership and management skills, with the ability to build, motivate and manage teams, and inspire members to innovate while performing on budget and on schedule.
