Job description

We are offering an exciting opportunity for a Medical Office Manager to join our clients team. This role involves providing administrative support and proofreading services in a dynamic OHIP and medical-legal practice. The successful candidate will be involved in various tasks, including maintaining office cleanliness, managing appointment scheduling, ensuring the accuracy of medical reports, and managing financial tasks.

Responsibilities :

  • Ensuring the office is open and set up daily.
  • Providing a warm welcome and assistance to claimants, families, and interpreters upon arrival.
  • Coordinating OHIP and medical-legal assessments, liaising with referral sources, and scheduling meetings.
  • Upholding office cleanliness and managing laundry, recycling, and general sanitation tasks.
  • Overseeing appointment scheduling and maintaining an organized calendar with reminders.
  • Verifying the accuracy of the index to medical briefs.
  • Preparing and finalizing medical-legal report templates before submission.
  • Ensuring all reports are formatted correctly and meet the highest quality standards.
  • Editing medical-legal reports for grammar, syntax, formatting issues, and factual consistency.
  • Cross-checking reports against medical files to ensure accuracy and completeness.
  • Overseeing banking, invoicing, and overdue payment tracking.
  • Submitting OHIP billing sheets to billing agent and tracking payments.
  • Processing auto insurance documentation, including OCF-18 and OCF-21 forms via HCAI.
  • Assisting specialists with in-office procedures such as injections, if needed.

A college diploma or a bachelor’s degree is required. Preferably in fields related to healthcare administration, medical office management, or a related discipline.

Previous experience in a medical or legal administrative role is preferred.

Experience working in a medical office environment, legal office setting, or health-related administration is a significant advantage.

Experience with handling medical-legal assessments, OHIP billing, and auto insurance documentation (OCF-18 and OCF-21) will be considered a plus.

Proficiency in using Microsoft Word and Excel for document creation, data management, and scheduling.

Advanced proficiency in Adobe Pro for handling PDF documents, making edits, and creating reports.

Familiarity with Box (cloud storage system) for document management and sharing.

Strong knowledge of Google Calendar for scheduling appointments, reminders, and meeting coordination.

Comfort with medical billing software or systems (e.g., OHIP billing sheets, HCAI for auto insurance claims).

Excellent verbal and written communication skills in English , with a focus on clear and professional communication.

Ability to communicate effectively with patients, families, interpreters, specialists, and referral sources.

Ability to proofread and edit medical-legal reports with attention to grammar, syntax, factual accuracy, and formatting consistency.

Strong interpersonal skills, as you will be working with a variety of individuals, including patients, medical professionals, and legal teams.

Strong time-management and organizational skills are essential for managing a busy office and supporting multiple tasks at once.

Ability to manage and prioritize multiple tasks independently with minimal supervision.

Efficient at managing and organizing a calendar, ensuring all appointments and meetings are scheduled appropriately with reminders.

Maintaining clear, accurate, and up-to-date records, including medical-legal documents and billing information.

Exceptional proofreading, analytical, and critical thinking skills to ensure the accuracy and quality of all medical-legal reports and documents.

Ability to identify discrepancies or errors in medical reports by cross-referencing with medical files, ensuring consistency and completeness.

Careful attention to formatting and ensuring all reports meet the highest quality standards before submission.

A basic understanding of medical terminology is beneficial to comprehend medical documents, reports, and procedures.

Knowledge of patient confidentiality regulations, including compliance with privacy laws such as HIPAA (or Canadian equivalents), is an asset.

Familiarity with medical-legal assessment processes, especially in cases involving injuries and disabilities, is a plus.

Strong commitment to providing high-quality work, demonstrating professionalism in every task.

A positive, cheerful attitude, especially when dealing with claimants, families, and colleagues in potentially sensitive or stressful situations.

Ability to work independently with minimal supervision while maintaining a high level of productivity and accuracy.

Adaptability to work in a hybrid environment, both remotely and in-person (South Etobicoke).

Ability to maintain confidentiality in all administrative and patient interactions.

Strong work ethic and commitment to deadlines, especially in a fast-paced environment.
