The Administrative Agent provides front-line administrative and customer service support to ensure the smooth operation of programs and services. The role supports coordinated service delivery through accurate data management, reporting, and effective communication with participants and stakeholders. It contributes to day-to-day operational efficiency by managing inquiries and assisting with administrative and financial processes.

In this role, you will:

  • Manage inbound telephone inquiries and walk-in traffic in a professional and timely manner.
  • Provide information and referral services to meet customer needs, including responding to inquiries about YMCA programs and local community services.
  • Complete extensive data entry in Ministry and YMCA databases, ensuring accuracy and data integrity.
  • Maintain complete files and effective data management systems to support day-to-day program operations.
  • Maintain accurate activity records and participant information and compile regular statistical reports for the program, association, and funders.
  • Coordinate outbound telephone services by liaising with employers and participants, gathering information, tracking outcomes, and maximizing service opportunities with each call.
  • Assist with administrative procedures, including mailing, filing, preparing month-end journal vouchers, and typing correspondence as required.
  • Perform bank deposits and reconcile petty cash in accordance with established financial procedures.
  • Conduct monthly financial reconciliation to ensure accuracy and compliance.
  • Perform other duties as assigned.

  • Focus on the health, safety and wellbeing of all children, youth, and vulnerable people in YMCA programs including understanding legal and moral obligations related to reporting suspected child abuse to Child Protection Services.

You bring:

  • Completion of a Community College Diploma preferred coupled with a minimum of two years of related experience, or equivalent experience.
  • Must have advanced computer skills with Microsoft Office, including Word, Excel, PowerPoint, and Outlook.
  • Oral and written communication skills in both English and French are an asset.
  • Organized and detail-oriented, with familiarity with professional office systems and procedures.
  • Excellent communication and customer service skills.
  • Well-developed interpersonal and relationship-building skills, with the ability to establish rapport and communicate effectively with members, staff, and volunteers, along with strong written communication skills.
  • Ability to work efficiently both independently and as part of a team.
  • Motivated, positive individual who enjoys the challenge of a fast-paced environment.
  • Flexibility regarding assigned schedules, including evenings and weekends.
  • Access to a motor vehicle is an asset, as there is some travel between sites.
