Job description

The Role : We are seeking a highly organized and detail-oriented Proposal Coordinator on behalf of our client to support the development of winning Request for Proposal (RFP) and Request for Qualification (RFQ) responses for infrastructure projects. In this role, you will collaborate with technical teams, subject matter experts, and business development leaders to create compelling, high-quality proposals that showcase our client’s expertise and differentiate them from the competition. Responsibilities : Assist the Proposal Manager in reviewing and analyzing RFPs, RFQs, and other solicitation documents to interpret and understand compliance requirements. Develop detailed compliance outlines and checklists to guide proposal development. Meet with subject matter experts, technical teams, and leadership to gather necessary content and ensure proposal responses align with project requirements. Write, edit, and format proposal content, ensuring clarity, consistency, and compliance with client specifications. Assist in preparing and formatting supporting documents, such as cover letters, executive summaries, and compliance matrices. Maintain and update a library of proposal templates, resumes, project descriptions, and other relevant materials. Conduct quality control reviews of proposals to ensure accuracy, completeness, and compliance with submission requirements. Manages tasks for multiple projects concurrently to meet tight deadlines and submission target dates. Support continuous improvement initiatives in the proposal development process by identifying best practices and lessons learned. Other duties as required A little bit about you : Strong communication and technical writing skills, with an aptitude for understanding technical terminology. Exceptional attention to detail, with the ability to proofread, edit material, and identify errors or omissions. Minimum of 3 years of experience in proposal development, preferably within BC infrastructure projects or a similar environment. Bachelor’s degree or diploma from a recognized post-secondary institution in Business, Communications, English, Engineering, or a related field, or equivalent experience. Knowledge of industrial construction RFP and EOI processes, including bonding, safety, quality control, project controls, addenda, RFIs, contract types, and commercial requirements, is an asset. Flexibility to work overtime when necessary to meet proposal deadlines. Ability to read and interpret industrial construction drawings and specifications is an asset. Previous experience in consulting, engineering, legal, or major project joint ventures is desirable. Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint); experience with Adobe Acrobat and InDesign is an asset. Must Haves : A team player who thrives in a collaborative environment. Excellent multitasking skills with the ability to prioritize effectively. A critical thinker and self-starter with strong problem-solving abilities. Clear and effective communication skills. Dedication to meeting project deadlines and delivering high-quality work. Strong organizational skills to manage multiple projects simultaneously.
