OVERVIEW : Reporting to the Director of Finance and Administration, as a Flight Travel Coordinator, the role will be responsible for organizing and coordinating all aspects of travel arrangements for Staff, House Parent, Support & Respite Worker within our organization. Your role will involve ensuring that all travel arrangements are made efficiently, cost-effectively, and in accordance with company policies and procedures. You will work closely with Staff, House Parent, Support & Respite Worker to ensure a smooth and hassle-free travel experience.
KEY RESPONSIBILITES :
Coordinate and book flight travel arrangements for Staff, House Parent, Support & Respite Worker including flights, and other necessary arrangements.
Distribute flight travel itineraries, including all relevant details such as flight information.
Ensure all travel arrangements are accurate, complete, and aligned with the operational needs of the organization.
Manage and track flight travel for no-shows and any freight overages.
Assist Staff, House Parent, Support & Respite Worker in resolving any travel-related issues or emergencies, including flight cancellations, etc.
Strong organizational and multitasking skills, with the ability to prioritize tasks and meet deadlines in a fast-paced environment.
Excellent attention to detail, ensuring accuracy in all travel arrangements and documentation.
Exceptional communication and interpersonal skills to effectively interact with Staff, House Parent, Support & Respite Worker.
Ability to handle and resolve travel-related issues or emergencies promptly and efficiently.
Ability to maintain confidentiality and handle sensitive information related to Staff, House Parent, Support & Respite Worker travel.
Other duties as assigned.
QUALIFICATIONS :
Grade 12 and proven work experience as a Flight Travel Coordinator, or a similar role in travel coordination.
Strong proficiency in Microsoft Office, word processing (MS Word), Spreadsheets (Excel), E-mail (Outlook) and internet.
Excellent organizational and time management skills.
Strong customer service orientation.
Ability to work independently with minimal supervision.
Flexibility to adapt to changing travel arrangements and schedules.
Fluency in written and spoken English, with additional language skills being an advantage.
Satisfactory Child Abuse, Vulnerable Person check and Criminal Record check.
Ability to speak Ojibwa language will be considered an asset.
