Job OpeningaLocation : Expected Start Date : Full Time : Permanent : Posting End Date : Job Description : Aurora Finance System and Functional Specialist - Administrative Assistant 3 (AESES)New Budget-Funded Continuing Full-Time 35.00 hours / week Monday to Friday, 8 : 30 am to 4 : 30 pmSalary Range : $30.76 - $43.35 per hour ($55,983.20 - $78,897.00 per annum)Proposed Start Date : July 8, 2024Trial / Probation Period : 840.00 work hours For more information, please contact : Kristine Ward, Manager, Financial Systems@ : - Ensures systems are operating correctly and providing University staff accurate access to financial information.- Liaise with technical supports from internal and external teams to manage system integration and interface requirements.- Maintain and monitor overnight data load processes and resolve issues with technical resources. - Designs new and maintains existing financial reports for clients.- Load and validate tables and data to financial systems.- Liaise with the system administrators and Manager to address issues requiring the University's software providers input.- Run and review reports regularly to ensure functionality and compliance with policies, procedures and internal controls.- Creates and tests reports to maximize benefits to procedural efficiencies.- Examines monthly release notes from system suppliers, documents changes and identifies recommendations. - Create and maintain test scenarios for use when testing new system versions or system tasks for varying teams and job functions. - Performs testing and documents results for software updates on the financial systems and related projects.- Researches, develop and implement resolutions to problems encountered with applications, releases, and enhancements. - Maintain problem logs, evaluate trends and provide options to provide solutions to problems encountered. - Addresses identified system issues / concerns and collaborates with system administrators or technical supports if needed to provide a resolution. - Participates in the development of potential system changes and enhancements to respond to clients' needs with system administrators, Manager, or other technical supports.- Research and documents procedures, system functionality and best practices of the financial systems with other internal and external experts and software suppliers.- Provide regular updates to Manager Financial Systems on system issues and changes with status, progress, roadblocks, recommended options.- Maintains and develops custom reports for Financial Services departments as requested or when needed for troubleshooting purposes.- Provides direction and support to users of the Aurora Finance systems and helpdesk staff by answering calls or emails.- Ensures client complaints and suggestions are addressed in a timely manner.- Resolves problems encountered by users by analysing, researching, and determining the best possible solution or providing viable alternatives that are within policy and procedures and resolving exceptions to the rule.- Administer & assist with system training sessions. - Develop new training resources using varying formats including web content, documents, videos, and in-class sessions to support business needs.- Observe trends and repetitive issues to research options to optimize systems, training and supports.- Works to continuously develop an understanding of client groups' activities and needs.- Maintains client relationship management processes and activities to support the advancement of positive client relationships - Promotes system and process "best practices" to internal users. - Promotes the visibility and benefits of Financial Systems services and works to enhance the identity of the team as an effective service organization.- Acquires and maintains an in-depth knowledge of clients' business functions to ensure that the operational drivers of clients are understood, maintained, and integrated into Financial Systems support.- Administer & assist with system training sessions.- Reviews and updates the financial systems intranet support pages.- Supports other Financial Services teams with intranet and internet updates.- Supports the creation and management of Financial Services forms and actively seeks new options to distribute and collect information.- Contributes to identifying communication needs related to the financial systems.- Perform other related duties as : MINIMUM FORMAL EDUCATION / TRAINING : - A undergraduate degree in a related discipline required. - Training in Business System Analysis, accounting for business and financial management, adult teaching or other related professional development is an asset. EXPERIENCE : - Minimum of 3 years' experience supporting implementation and administration of complex financial management systems, and performing data analysis, with a focus on processes, data integrity and collaboration is required. - Must have experience in supporting business processes and business process improvements. - Proven knowledge of several large complex technological systems, concepts and definitions used in an accounting environment is required.- Previous experience reviewing system requirements and recommending appropriate system management measures is required. - Experience with multiple hardware and software environments is required. - Knowledge of components of application and infrastructure is required. - Experience with tools and technologies used to design, plan, and validate confidential financial data is required. - Strong understanding of the delivery of business solutions using formal development methodologies / processes is required. - In-depth experience and understanding of client service and business relationship management is required.- Experience with working with a team for system implementations, application management and business processes required. - Must have experience developing and delivering training materials in a variety of formats.- Previous experience working in a major financial system and familiarity with the University of Manitoba or non-profit environment preferred.- Candidates working towards a professional accounting designation and / or a Business System Analyst certification preferred. - Knowledge of varying software programs to manage development and distribution of training materials is preferred. - Demonstrated experience implementing application and infrastructure solutions, technology components and operational processes are an asset.- An acceptable equivalent combination of education and experience may be considered.
