An Opportunity To Join our Facilities Team
In Our Newly Renovated Building
CPA Ontario is currently in search of a Facilities Coordinator who will be responsible for incoming and outgoing shipments of packages, parcels and mail while maintaining accurate records of incoming and outgoing shipments. In this role you will ensure smooth operation of the loading dock and communicate with suppliers and internal departments regarding shipping and receiving at our Bloor Street location. In this role you will work with our existing team to support the facilities and overall health and safety in our building.
What You’ll Be Doing :
Accepting and documenting packages and deliveries made to the facility , arranging deliveries with carriers, maintaining accurate records of incoming and outgoing shipments and overseeing loading dock operations .
Operating pallet jacks and unloading large shipments from trucks and ensure proper storage of items that are received as well as accuracy of shipments. Identifying and resolving shipping or receiving discrepancies as they arise.
Fulfilling mailroom services including preparing items for shipping, sorting and delivering incoming mail and deliveries as well as packaging, labelling and sending outgoing mail. Reporting and addressing any issues with mail services as they arise.
Supporting internal teams and staff by completing requests for files or records stored on-site or off-site and preparing labels for delivery and pick up of exam materials within Ontario.
Completing administrative duties such as maintaining inventory, ordering materials and supplies, and performing back up duties to the facility team.
Who You Are :
A high school or post-secondary graduate with at least 1 year experience in a warehouse or shipping environment. Experience in a mailroom is preferred.
Able to operate warehouse equipment including dollies, pump trucks and pallet jacks.
Comfortable using hand tools, performing heavy lifting and manual labour. Able to unload shipments from trucks and lift boxes of 20-50 pounds when required.
An excellent communicator with a service-oriented mindset and the ability to interact with company employees at all levels and interact with courier and postal companies, building contractors, vendors and more. Comfortable escalating issues in a sensitive and professional manner when required.
Well organized and detail-oriented with the ability to accurately complete shipping documentation, ensure proper record-keeping and coordination with carriers to schedule pickup and delivery of shipments in order to manage loading dock operation with ease.
Knowledgeable in Microsoft Office including Word, Excel, Outlook and Teams and able to learn new tools. Data entry experience is an asset.
Able to prioritize, multi-task and work well in a fast paced environment.
Self-motivated and able to act on own initiative with independent work, while also collaborating within a team environment. Willing to be cross-trained and serve as a backup for other members of the facilities team.
Committed to a safe work environment. Standard First Aid & CPR / AED Certification is an asset.
Currently holding a valid driver’s license and able to travel within the Toronto area as required.
Flexible and available to work overtime beyond regular hours when required, including weekends.
