Salary : $50,000 to $55,000 per annum, prorated to 3 days per week

The Events Coordinator provides critical day-to-day operational leadership in the sustainability, functionality and growth of MOCA Toronto’s signature, cultivation and stewardship events. This role is a Parental Leave cover, from April to December 2025.
The Events Coordinator will support the Development team, planning and delivering a roster of special events to engage, sustain and enhance relationships with corporate sponsors, individual donors, members, external vendors, partner organizations and other MOCA stakeholders. The major project for 2025 will be to coordinate and deliver the MOCA Toronto Award Gala.
The successful candidate will collaborate with colleagues across departments as well as the Board of Directors and committee-level volunteers. They will work closely with the Director of Strategic Fundraising to oversee the direct coordination of high-quality events. This position is ideal for a motivated self-starter who is passionate about delivering exceptional customer service and has three or more years experience managing high-profile fundraising events and reaching ambitious revenue targets.
Key Responsibilities
Events
- Oversee the development and direct coordination of MOCA’s events portfolio, including the signature MOCA Award gala in December 2025, exhibition opening and stewardship events, as well as other events as scheduled
- Lead on event management, developing and delivering an event strategy in collaboration with MOCA staff
- Identify, engage, and manage event vendors which may include venues, event rentals, catering, staffing, florals, audio visual equipment and services, artists / performers, and others
- Adhere to set event timelines, budgetary parameters and legal, best practice and contractual compliance
- Support with the creation of event communications and materials, working with graphic designers and the MOCA team
- Contribute to event fundraising through sponsorships and ticket / table sales, and the related tracking, fulfillment, receipting, and reporting
- Monitor, evaluate and report on feedback and event metrics, outcomes, and participation, using this information to support stewardship of donors and sponsors
- Negotiate financial savings for MOCA through in-kind contribution, vendors sponsorships, and cost reductions while maintaining goodwill and cooperation among suppliers and partners
- Work across departments to coordinate a programme of innovative and exciting events
- Collaborate with the marketing team to implement event marketing and promotions to maximize event fundraising revenues
- Conduct prospect identification and research and write proposals / reports as required
- Coordinate the participation of colleagues across the organization to support MOCA’s event portfolio
