The Human Resources Administrative Assistant provides administrative and data entry support to the Human Resources team, ensuring the accurate maintenance of employee records, HRIS data, benefits, payroll, and onboarding processes. This role plays a key part in delivering efficient, confidential, and customer-focused HR services while supporting day-to-day departmental operations and the Director.
ROLE
- Accurately enter and maintain employee information in the Human Resources Information System (HRIS)
- Process employee data for new hires, transfers, status changes, resignations, benefits, and pension enrollment
- Process benefit and pension enrollments, updates and changes through Greenshield and HOOPP.
- Support employee onboarding by preparing documentation and coordinating onboarding activities
- Input payroll-related data, including employee hours, to support accurate and timely payroll processing
- Prepare and maintain electronic and paper employee records while ensuring data accuracy and confidentiality
- Generate HR reports, seniority lists, and employee correspondence using the HRIS and mail merge tools
- Monitor and respond to HR inquiries through the departmental email account and direct requests as appropriate
- Provide administrative support through calendar management, meeting coordination, agenda preparation, and minute taking
- Support the Human Resources team with administrative tasks and other duties as assigned
EDUCATION, EXPERIENCE & QUALIFICATIONS
- Post secondary education in office administration, human resources, or related field required
- 1 year of related administrative experience in an office environment
- Experience with Outlook, Excel, Word, PowerPoint including developing spreadsheets, mail merges, etc.
- Familiar with MS Teams, Zoom, etc.
- Detail-oriented, able to exercise independent judgement, with strong problem-solving skills

ADDITIONAL INFORMATION
Location: Multi-Site, working on site at both the South Muskoka Memorial Hospital (SMMH) located in Bracebridge and Huntsville District Memorial Hospital (HDMH) located in Huntsville. Applicants must reside within 125km of one of our hospital campuses or be willing to relocate prior to starting. *Exceptions will be considered on a case-by-case basis
Hours of Work: Regular hours of work are 8:00 am - 4:00 pm. Shifts and hours may change according to departmental requirements per the collective agreement.
