Job Purpose

The HRIS Coordinator and Compensation Analyst responsible for HRIS management and assisting with the Job Evaluation programs; including providing technical and analytical support in the design, administration, analysis and maintenance of the DDSB’s salary administration and job evaluation practices, policies, and programs. Maintain certain functions of the HR system to support the access of timely information, ensuring data integrity and consistency. Develops and provides required reports for internal and external clients.

ACCOUNTABILITIES :

Compensation Analyst duties include :

  • Coordinate job evaluation programs.
  • Provide advice and consultation to clients on matters related to job evaluation, including program interpretation and application as well as job design and organizational structure.
  • Coordinate activities of the joint job evaluation committee, which includes communicating job evaluation results.
  • Create and maintain comprehensive job descriptions and related documentation.
  • Assist with the development and maintenance of pay structures, including providing analysis, preparing costing scenarios, and reporting to assist in decision making.
  • Provides support in the coordination, calculation and implementation of annual compensation adjustments, as well as regular maintenance of related files and databases.
  • Provide analytical and trending support through the analysis of current pay practices, internal compensation trends and external industry / market trends.
  • Perform regular system updates to position management records, job and salary / wage tables and position description databases.
  • Recommend efficiencies and modifications to better use existing technology
  • Special Projects. Provide analysis, findings and recommendations for projects, research, as best practice solutions.
  • Participate as a subject matter expert on working groups.

HRIS Coordinator duties include :

  • Manage HRIS systems (K212, Oracle).
  • Create and implement and maintain position and salary information for all employee groups.
  • Ensure that all HRIS information is current and in alignment with Collective Agreement requirements, legislation and Ministry directives.
  • Prioritize and complete requests for data from internal and external clients, respond to surveys, and ensure accurate reporting of required information within prescribed deadlines.
  • Key member of the HRIM team related to HRIS software integrations and updates, including providing input into system impact of proposed changes and updated processes.
  • Work with HRIS system end users on functionality and training.
  • Involvement in reviewing and testing software changes and updates to ensure outcomes are aligned with project goals, requirements and best practices.
  • KNOWLEDGE AND SKILLS :

  • Demonstrated ability to evaluate / analyze situations with a strong attention to detail and ability to think critically, make decisions to solve problems and recommend solutions.
  • Financial acumen and ability to conduct cost benefit analysis of compensation / rewards programs.
  • Strong knowledge of employment-related legislation (Pay Equity Act, ESA, Ontario Human Rights Code).
  • Proactive and demonstrated commitment to staying current on changes to legislation, collective agreements and Ministry initiatives impacting employees, as well as departmental policies and procedures.
  • Expert knowledge and experience with HRIS Systems and understanding of connections between HR functions and other key stakeholders / departments including Payroll and Finance.
  • Exceptional customer service skills and the ability to work with all levels of employees and stakeholders both internal and external to the organization.
  • A team player and demonstrated success in collaborating with cross-functional departments and within project teams to achieve desired outcomes.
  • Excellent communication skills; proven ability to develop effective written communications; comfortable and competent in training others using Universal Design for Learning principles.
  • Experience working on project teams, with specific experience in HRIS system updates, integrations or implementations considered an asset.
  • Demonstrated analytical ability, including analysis and technical reporting
  • Advance skills in MS office (Work, Excel, PowerPoint)
  • EDUCATION AND EXPERIENCE

  • Completion of undergraduate degree in Human Resources Management / Business with courses in compensation / rewards or a combination of education, training and experience deemed to be equivalent.
  • Minimum 3 years’ experience working with HRIS systems, compensation and employee life cycles, in a highly complex, unionized environment.
  • Minimum of 2 years’ experience in job analysis, job evaluation, and developing descriptions would be an asset.
  • Experience in working with ERP system ie Oracle would be an asset
  • Experience in report writing and working with HR metrics is an asset.
