We are seeking a highly organized and detail-oriented Office Administrator to support our team. The ideal candidate will possess excellent communication skills, both written and verbal, and demonstrate the ability to multitask in a fast-paced construction environment. This role requires proficiency in all Microsoft Office programs and a proactive approach to administrative and project support tasks. This is an in-person, on-site position at our Waterloo, ON location.
Key Responsibilities :
- Provide administrative support to the Vice President of Construction and other team members as needed.
- Prepare and edit correspondence, reports, and other documents with a high level of accuracy and professionalism.
- Maintain and organize project files, contracts, and documentation for construction projects.
- Assist in preparing and distributing project-related reports, presentations, and proposals.
- Track and manage the construction materials, tools, and equipment inventory. This includes keeping accurate records of stock levels and ensuring that inventory is organized and accessible.
- Work closely with project managers and site supervisors to maintain material counts and equipment logistics.
- Conduct regular audits of inventory to ensure accuracy and compliance with company policies. Address any discrepancies or issues that arise
- Ensure compliance with company policies and procedures related to billing and accounting.
- Act as a point of contact for internal and external stakeholders, ensuring timely communication.
- Handle incoming emails, and other communications professionally and efficiently.
- Perform general office duties, including ordering supplies, filing, and data entry.
- Assist with invoicing, budget tracking, and expense reconciliation as needed.
- Manage daily office operations, greeting visitors, and handling correspondence.
- Assist in planning and coordinating special events
