Job description

PSI Foundation is seeking a detail-oriented and collaborative Junior Grants Operations Coordinator to support the Foundation’s grants operations and help strengthen the efficiency, accuracy, and quality of its grant-making processes.

Reporting to the CEO and working closely with the Grants Coordinator, this role provides important operational and administrative support across peer review management, application screening, committee preparation, funding decision administration, and ongoing grants-related workflows.

Key Responsibilities

In this role, the Junior Grants Operations Coordinator will support a range of grants administration activities, including:

  • Identifying qualified peer reviewers and supporting outreach, registration, records management, and reviewer guidance materials.
  • Responding to applicant inquiries, screening applications for completeness and eligibility, and following up with applicants as needed.
  • Assisting with Grants Committee preparation, including reviewer assignments, meeting materials, evaluation review, and meeting logistics.
  • Attending Grants Committee meetings to record funding decisions and discussion notes.
  • Entering funding decisions, tracking required documentation, and supporting post-award follow-up.
  • Maintaining accurate records in grants management systems and supporting continuous improvement of grants-related processes, templates, and workflows.
  • Providing administrative, communications, and operational support to the Grants Coordinator and broader PSI Foundation team as required.

Qualifications and Skills

The ideal candidate will bring a strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities while maintaining accuracy and confidentiality.

  • Post-secondary diploma or bachelor’s degree in a relevant field, such as Health Sciences, Social Sciences, or a related discipline, or an equivalent combination of education and experience.
  • One (1) to three (3) years of experience in grant administration, research administration, or a related operational role, preferably in a nonprofit environment.
  • Familiarity with biomedical research and/or nonprofit grant funding agencies will be considered an asset.
  • Proficiency with Microsoft Office, including Word, Excel, Outlook, and Teams.
  • Comfort working with online systems (Asana), databases, grants management systems, digital workflows, or comfortability learning and applying new software systems.
  • Strong written and verbal communication skills.
  • Ability to work collaboratively with staff, applicants, reviewers, committee members, and other stakeholders.
  • Ability to take direction, work independently, problem-solve, and organize work effectively under pressure.
  • Demonstrated ability to maintain strict confidentiality of applicant information, reviewer evaluations, committee discussions, and funding decisions.

Work Arrangement and Compensation

  • Full-time position, 37.5 hours per week.
  • Hybrid role, primarily remote, with the expectation to work in office one (1) day every two (2) weeks in Toronto, Ontario.
  • Some travel will be required for in-person meetings and events within the GTA and other potential special events within Ontario.
  • Annual compensation range: $50,000 to $60,000.
  • Comprehensive benefits package, including extended health, dental, and life insurance.
