Assist reception with overflow by answering incoming calls, relaying messages, and accepting incoming jobs. Coordinate with project manager(s), insurers, building professionals, technicians and subtrades to ensure timely and efficient project execution. Assist with scheduling and organizing project activities to meet deadlines and client expectations. Serve as a main point of contact for clients, providing regular updates and addressing any concerns received. Maintain accurate project documentation, including physical files, scopes of work, estimates, invoices, and progress reports. Document project milestones and completion for invoicing and accurate reporting. Send work orders, as directed, to internal departments and external trades. Send requests for quotes to subtrades and compile received documents for PM to provide accurate estimates. Knowledge of the restoration industry is an asset Administrative assistant experience General knowledge of the insurance industry Computer savvy and knowledgeable in Microsoft Office Suite Minimum typing speed of 50 WPM Ability to multitask and have great attention to detail Able to work in a high pressure environment Ability to work in sensitive solutions Strong communication skills Team player
