We are hiring a Sales Coordinator in our Kamloops branch! The Sales Coordinator ensures smooth day-to-day operations by managing deal paperwork, inventory tracking, internal communication, and customer documentation. The Sales Coordinator is a key link between departments and helps ensure excellent internal organization and customer experience. This role works closely with the Regional Sales Manager, Sales Admin Lead and Sales Representatives.
Key Responsibilities :
- Coordinate and process all deal-related documentation up to the point of final sale paperwork submission.
- Submit equipment orders, receive units into inventory, and update systems accordingly
- Assist sales team with unit location, stock number creation, and delivery scheduling
- Track and communicate status of equipment (new and used) for the sales team
- Ensure all customer paperwork is completed and uploaded in a timely manner
- Maintain accurate tracking and control of all demo units
- Confirm trade-in units are delivered to the yard after sale completion and coordinate shop inspections
Branch Coordination :
Communicate with service, parts, and rental departments to ensure unit readinessCoordinate PDI (new) and reconditioning (used) requests with the service departmentManage internal office communications related to active deals and inventorySupport branch-wide administrative tasks as assigned by the Sales Admin ManagerProvide support to the Sales Manager with assigned tasks and projects as neededSystem & Process Compliance :
Ensure accurate data entry in dealership systems (e.g., IntelliDealer)Adjust and reconfigure Kubota invoices as needed (e.g., combining or separating components), and accurately record all related changes in the dealership system.Follow SOPs for sales process, equipment PO tracking, receiving, and inspectionsMaintain internal sales checklists and visual process boards (where applicable)Customer Interaction :
Assist with follow-up and post-sale communication when neededPrepare paperwork for signature and ensure professional, timely communicationManage telephone over rings when other departments are busyWork closely with the Sales Admin Lead for process alignment and trainingTake day-to-day direction from the RSM on local sales priorities and logisticsCommunicate openly and proactively to resolve issues or delaysOther Administrative Duties :
Maintain and order office supplies, coffee supplies, etcManage daily credit card receipt batches, cash and cheque deposits etc.Requirements :
Strong organizational and communication skillsDetail-oriented with ability to manage multiple prioritiesExperience with sales or dealership systems preferred (e.g., IntelliDealer)Positive, team-first attitude with willingness to learn and growWork Conditions :
