Position Purpose and Summary
To provide reception and administrative support for the School of the Arts, Media + Culture (SAMC) departments (Art + Design, Game Development, Media + Communication, Music, and Theatre). This will be a 9-month contract from August 16 to May 15.
Key Areas of Accountability
Administrative Support
- Act as the receptionist for RNT-East Wing and the Music Building, sort and distribute mail as required, send and receive faxes, take clear and accurate messages for all regular, full, sessional, part-time, and affiliate faculty.
- Provide administrative support for the faculty of SAMC which includes accurate word processing, data base records, filing, photocopying and other secretarial services.
- Serve as the front-line contact for students in providing program and advising information, distribution and reception of departmental forms, receiving official schedule and room assignments for affiliate teaching and student practice / rehearsal in applied music studios; managing student locker assignment and key distribution for music students; and providing support to the student clubs.
- Serve as the front-line contact for campus visitors to the School; answer questions and give direction regarding their needs.
- Manage calendars for SAMC dedicated spaces (Instrumental Hall, Choral Hall, Music Practice rooms, RNT 237, and Freedom Hall) and liaise with department chairs for any student or non-SAMC booking requests. Oversee music affiliate instructor room assignments and student practice room scheduling.
- Coordinate and manage annual syllabi review and gradebook records.
- Set up meeting appointments, preparing agenda and minutes for departmental meetings, and handling all administrative correspondence related to departmental activities for the department chairs.
- Maintain an efficient, confidential office, ensuring the availability of supplies as needed for the RNT-East Wing and Music Building.
- Assist with the administration of department events through the year. This includes, but is not limited to : printing posters; ticket reports and tracking; arranging transportation and directions to venues; booking venues; and coordinating set up at off-campus venues (including arrangements for table hosts and ushers as required). This includes administration support for theatre productions, concerts, recitals, auditions, and music juries.
- Manage and distribute office and building keys to SAMC faculty and staff.
- Liaise with Campus Services staff and Security regarding the physical needs of the RNT-East and Music Building and the safety of its occupants. Liaise with departments such as Admissions, Student Life, and Conferences, as needed.

Standards & Requirements
Education : 2 year college diploma in an administrative field; Bachelor degree preferred
Experience : 3 - 4 years prior experience in an administrative or secretarial role, preferably in a post-secondary institution.
