Sr Proposal Coordinator

ABOUT YOUR TEAM

You will be a key member of our Marketing team, reporting directly to our Proposal Manager and working collaboratively with our technical engineering team (Operations), business development leaders and other members of the Marketing team.

HH Angus’ national Marketing team supports the proposal, business development and marketing needs of the firm across all our offices (Montreal, Ottawa, Toronto, Calgary and Vancouver). ABOUT THE OPPORTUNITY/ROLE

You will be the linchpin of our pursuit process. You’ll work closely with technical teams, marketing professionals, and business development leaders to create compelling, compliant, and beautifully crafted proposals that clearly illustrate the value we deliver to projects and clients. Whether it's a two-page letter or a 100-page RFP response, you’ll keep the process smooth, the messaging sharp, and the deadlines met.

You are a concise, direct, and persuasive storyteller with a forensic attention to detail, capable of producing professional client proposals. You will be responsible for articulating how we can help our clients meet project and business needs through managing the timely delivery of proposals by writing, researching, editing, coordinating, and formatting content into clear submissions that are responsive to client requirements. You will also write case studies and other collateral to support business development and marketing initiatives.

WHAT YOU’LL DO

• Be the single point of contact to coordinate and deliver proposals including creation of proposal response plan, writing, review and approval, scheduling kick-off calls/planning meetings/reviews, entering and monitoring proposals statistics, coordinating requirements with contributors and transmitting proposals.
• Ensures proposals are delivered to quality standards, and timelines are met.
• Regularly monitor bid sites (i.e. MERX, Biddingo, etc.) to identify relevant opportunities and distribute information to appropriate internal stakeholders for Go/No-Go evaluation
• Provides comments and recommendations to bids, which includes likelihood of success, client history, timeline and recommendations for the Division Leadership.
• Leads the evaluation of which of their assigned projects to pursue, and then assists in strategizing and drafting the response.
• As part of the proposal preparation process, research relevant markets, sectors, competitors, and potential targets, with an ability to translate information into insight to fuel winning strategies and compelling and tailored narratives.
• Convert and integrate technical content provided by Operations and subject matter experts into cohesive, compelling, and well-written narratives to integrate into proposals and other collateral that is aligned with the firm’s unique value propositions and win themes.
• Act as a “Subject Matter Expert” for the firm’s proposal process and tools while promoting best practices to team members and internal clients and providing mentorship internally.
• For opportunities that have been identified for pursuit, works with Business Development and Operations leads to create a list of targeted clients, assists with coordination of follow-up actions and monitors outcomes.
• Works with stakeholders across the organization to produce proposals, presentations, and other marketing material in alignment with brand standards.
• Builds and maintains relationships within their peer group in our client organizations for existing and potential clients (i.e., proposal/marketing leads).
• Maintains resources such as proposal templates and related databases, the marketing library and information system, project documentation, and project sheets.
• Participates in proposal debriefings for continuous quality improvement processes.
• Conducts research related to proposal preparation.
• Acts as a back-up to Marketing team members as required.
• Other duties as required.

WHAT YOU’LL BRING

• A self-motivated team player with 5+ years of proposal experience, preferably within the professional services sector, with a preference for Architecture, Engineering and Construction (AEC).
• You value creativity, excellence, collaboration and story-telling with a drive to win.
• The ability to manage proposals and internal projects in a deadline-orientated environment.
• Strong communication and writing skills, with a high attention to detail and the ability to proofread and edit content.
• Strong computer skills and expertise in Microsoft Office (specifically Word and PowerPoint), Adobe Acrobat, and SharePoint.
• Ability to perform in a fast-paced/agile environment with competing priorities and capable of critical thinking and problem solving.
• Proficient in visual design and publishing using Adobe Creative Suite (InDesign, Photoshop, Illustrator) and Microsoft Office (Word, Excel, PowerPoint).

TOTAL REWARDS

The expected salary for this role is between $65,000 to $80,000 annually. Base salaries are determined considering several factors such as skills and competencies, experience, education, and internal and external competitiveness. Along with your base salary we offer a wide array of programs that include our Short Term Incentive bonus program, technical and business training, mentoring, wellness initiatives, the opportunity to participate in our coveted Defined Benefit Pension plan, flexible work arrangement, and hybrid work structure.
